Job Responsibilities:
Front Desk & Reception Management
- Monitor and maintain the reception area in a professional manner.
- Answer and direct incoming phone calls; address visitor inquiries with discretion.
- Maintain conference room schedules, check availability, confirm reservations.
- Set up conference rooms for next-day use.
- Sort and distribute incoming and outgoing mail and faxes.
Administrative & Clerical Support
- Perform clerical duties: filing, copying, scanning, data entry, and generating reports.
- Handle sensitive information with confidentiality.
- Type and process correspondence, spreadsheets, meeting minutes, and other documents.
- Track deadlines and manage dated information.
- Maintain an organized filing system.
- Maintain and update Excel and Access databases.
- Assist with updating procedure manuals, contact lists, and office records.
- Maintain and troubleshoot office systems (copiers, postage meter, A/V equipment) and coordinate with IT as needed.
Human Resources Support
- Schedule interviews for job candidates.
- Conduct reference checks for recommended candidates.
Job Requirements & Skills
- Minimum 3 years of office work experience.
- Intermediate proficiency in Microsoft Word, Outlook, and Excel.
- Strong organizational and time management skills.
- Ability to read and interpret documents and forms.
- Strong decision-making and problem-solving skills.
- Excellent verbal and written communication skills.
- High level of accuracy with names, numbers, and codes for record-keeping.
