Linfield University is seeking an Operations Supervisor to manage, coordinate, and supervise critical operational functions within Facilities & Auxiliary Services. This position plays a key role in overseeing front office operations, fleet management, work order systems, key control, and administrative processes while supporting the Facilities & Auxiliary Services leadership team. The successful candidate will demonstrate strong organizational, analytical, and customer service skills while ensuring efficient and reliable operational support for the campus community.

Job Summary

Manage, coordinate and supervise the critical operations functions of Facilities Services, including transportation and fleet management, work order system, key checkout and other priorities. Provide superior customer service and exhibit excellent communication skills when interacting with students, employees, visitors and contractors. Provide analytical, administrative and process improvement support to the Associate Vice President for Facilities Administration and Facilities & Auxiliary Services management team.

Operations Support and Supervision (40%)

  • Manage, coordinate and supervise the critical operations functions of Facilities Services to ensure informed customer service, high-quality solutions, well-trained employees, and predictable, reliable results.
  • Supervise and manage ongoing job performance of Facilities Office Assistant and student workers. Conduct employee performance evaluations. Provide appropriate coaching to employees regarding work performance according to university policy.
  • Schedule employees to ensure continuous coverage of the Facilities Services front office during business hours. Ensure office staff meet deadlines and are available to give appropriate assistance and support.
  • Handle onboarding and off-boarding staff, including training, software programs, contacts, program links, equipment, and resources.
  • Manage group email groups, Facilities calendar and public folders while working closely with ITS to provide access for all staff.
  • Update and maintain department webpages on the university website, ensuring the visibility and accuracy of the information on all relevant pages.
  • Greet visitors, monitor visitor access, respond to inquiries and act as the lead contact and reference source in person, on the telephone and via email.
  • Maintain an effective and efficient file management system in the office. Act as custodian of Facilities Services documents and records. Maintain department confidence and safeguard operations by keeping information confidential.

Policy Analysis and Process Improvement (50%)

  • Develop operational processes for effective and efficient workflow and adherence to quality standards.
  • Develop and maintain administrative and programmatic policies and procedures and coordinate revision processes.
  • Monitor and coordinate fiscal and budget responsibilities and report information to inform leadership decisions.
  • Serve as administrator for campus Work Order system and provide support for Facilities Services management team.
  • Establish and maintain invoice approval and recordkeeping processes to ensure accurate and timely processing of invoices.
  • Manage university Fleet vehicle program including reservations, accident reporting, usage fees, fueling, insurance and DMV coordination.
  • Oversee campus key checkout and return system ensuring policy compliance.
  • Manage Facilities Services radio communication including equipment, licensing and vendor coordination.
  • Develop procedures to ensure freight deliveries for campus departments are received, logged and delivered in a timely fashion.
  • Research, order and manage uniform inventory for Facilities and Auxiliary Services staff.
  • Serve as the On-Call Manager for fleet-related issues outside of business hours and assist in campus emergency responses.

Other Duties and Responsibilities (10%)

Assist in other areas or on special projects as requested, delegated or assigned to support the success of the university.

  • Communicate effectively and professionally with faculty, staff, students and the public.

  • Strong work ethic and ability to work in a fast‑paced, service‑oriented environment.
  • Ability to handle sensitive and confidential data.

Minimum Qualifications

  • Associate Degree in business, accounting or related field and five years of experience in maintenance service industry or customer service office management, or equivalent combination of education and experience.
  • Advanced skill level in Microsoft Office and database applications.
  • Effective leadership and strong interpersonal communication skills.
  • Demonstrated ability to train, motivate and supervise staff.
  • Strong judgment and problem solving skills.
  • Highly detail‑oriented with ability to set priorities and work with minimal supervision.
  • Experience working with budgetary information, contracts, agreements and DMV processes.
  • Valid driver’s license with ability to operate Linfield vehicles.

Preferred Qualifications

  • Supervision experience within facilities operations, maintenance or facilities management in a higher education setting.
  • Strong customer service and problem‑solving experience in a campus or multi‑site environment.
  • Ability to promote cooperation, trust and high‑quality workmanship in a service‑oriented environment.
  • Excellent written and verbal communication skills.

Physical Requirements

Work is performed in an office environment requiring frequent talking, seeing, hearing and prolonged sitting. Occasional walking, standing, bending, twisting and lifting up to 20 pounds. Ability to operate a motorized vehicle.
