What are the responsibilities and job description for the Client Experience Coordinator | Concierge Reception position at LINE OF SIGHT?
About the role
LINE OF SIGHT is not your average eye doctor's office — and this is not your average front desk job. We're a boutique eye care studio in Hudson Yards redefining what eyecare looks, feels, and functions like: cutting-edge clinical care, luxury hospitality, and aesthetic wellness, all in one architecturally designed space.
We're looking for a Client Experience Host to serve as the face and energy of our practice — someone who understands that how a patient feels from the moment they walk in is just as important as the care they receive. For the right person, this role has a clear path toward owning the client experience end to end.
What you'll do
- Welcome patients warmly, help them get comfortable, and serve as the central point of connection between patients, clinicians, and administrative staff
- Practice high-end clienteling — remembering patient preferences, anticipating needs before they're voiced, and building the kind of genuine relationships that make people feel like they belong here
- Manage scheduling, confirmations, and daily patient flow — keeping the clinic running smoothly and minimizing wait times
- Respond to calls, messages, and inquiries promptly and professionally
- Maintain a working knowledge of insurance basics and coordinate with our remote virtual assistant on verification
- Offer refreshments and ensure the reception environment always feels calm, polished, and welcoming
- Support light administrative tasks as needed to keep clinic operations seamless
Where this role grows
This is a foundational role intended to evolve. As you grow with us, you'll take on broader responsibility across two areas:
- Service & process improvement — Identify friction points, help implement systems that automate routine tasks, contribute to standardizing best practices, and collaborate with staff to continuously elevate how clients are welcomed and supported.
- Client outreach & relationship building — Support engagement initiatives, assist with follow-up communication, and partner with clinical staff on client retention and satisfaction, helping build relationships that go beyond the appointment.
You're the right fit if you
- Have a natural warmth that feels genuine, not scripted
- Stay composed and sharp when the clinic is moving fast
- Are meticulous about details without losing presence with the person in front of you
- Communicate clearly and solve problems proactively
- Are comfortable learning new systems — and genuinely interested in improving how things work, not just executing tasks
- Hold yourself to a high standard without being asked
- Have a college degree or are actively working toward one
Background in luxury retail, boutique medical, or high-end hospitality? You'll feel right at home.
