Duties
- Manage the Property Manager’s calendar, schedule appointments, meetings, and property inspections with precision and efficiency.
- Prepare, review, and organize lease or rental agreements, contracts, and legal documents ensuring compliance with landlord-tenant law and Fair Housing regulations.
- Utilize property management software such as Yardi, OneSite, and other tools to update records, process rent payments, track maintenance requests, and generate reports.
- Coordinate property leasing activities including tenant screening, Section 8 program administration, and lease renewals while maintaining accurate data entry and filing systems.
- Assist with budgeting processes by tracking expenses, preparing financial reports, and supporting facilities management tasks related to property maintenance and repairs.
- Handle client communication via phone, email, and in person; resolve conflicts professionally while maintaining excellent customer service standards.
- Support team management efforts by supervising administrative staff, delegating tasks effectively, and fostering a collaborative work environment.
Qualifications
- Proven experience in real estate administration or property management support roles; familiarity with property management companies preferred.
- Strong knowledge of property management tools such as Yardi, OneSite, Office experience, and customer relationship management (CRM) systems.
- In-depth understanding of landlord-tenant law, Fair Housing regulations, LIHTC (Low-Income Housing Tax Credit), Section 8 housing programs, and related legal frameworks.
- Demonstrated ability to manage conflict resolution effectively while maintaining professionalism; excellent negotiation skills are a plus.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) for data entry, reporting, and correspondence.
- Experience with lease or rental agreement management, contracts review, budgeting processes, and facilities management is highly desirable.
- Exceptional organizational skills with keen attention to detail; ability to prioritize tasks efficiently in a fast-paced environment.
- Excellent phone etiquette and client communication skills; adept at upselling services when appropriate to enhance tenant satisfaction.
