PURPOSE:
The Administrative Assistant I for 4-H Youth Development and Family and Consumer Sciences provides administrative support by organizing educational events, maintaining records, and managing office communication.
ESSENTIAL JOB FUNCTIONS, DUTIES, & RESPONSIBILITIES:
Office Management: Acts as the first point of contact with the public, answering calls, and providing directions to visitors.
Program Support: Process reports and support educational programs.
Communication: Prepares newsletters, brochures, and flyers using office software.
Clerical Operations: Maintains filing systems, prepares reports, orders office supplies, and manages staff calendars.
Event Coordination: Assists with scheduling venues, arranging technology, and preparing materials for Extension events.
Financial Support: Manages accounts and prepares expense reports or payment requests.
KNOWLEDGE, SKILLS, & ABILITIES:
Customer Service: Ability to work well with others and open to change.
Software Proficiency: Strong proficiency with Microsoft Office Suite and content management systems.
Communication: Excellent verbal and written communication skills for creating reports and interacting with the public.
Confidentiality: Ability to manage confidential information (E.g., personnel, financial, and 4-H records).
Organization: Strong organization skills with the ability to manage multiple projects.
QUALIFICATIONS:
- High school diploma or GED equivalent.
- Experience in an office setting, preferably in a public-facing, educational environment.
- Valid driver's license and clean driving record.
PHYSICAL DEMANDS:
- Prolonged periods of sitting at desk and working on a computer.
- Prolonged periods of standing and walking, sometimes outdoors.
- Ability to lift up to 25 lbs.
- Position involves occasional travel and evening or weekend work.
