Overview
We are seeking a dynamic and detail-oriented Receptionist/Accounts Payable Clerk to join our team. This vital role combines front desk responsibilities with financial administration, ensuring smooth daily operations and accurate processing of company expenses. The ideal candidate will be energetic, organized, and possess excellent customer service skills.
Responsibilities:
- Front desk general duties (i.e. greeting customers/vendors, etc.)
- Answering incoming calls and routing accordingly, taking messages, etc.
- Input 500-1000 invoices in Hyphen (Brix) weekly
- Process Mail – Incoming/Outgoing
- Process all invoices in A/P email
- Open mail for A/P and date stamp
- Drop all employee mail in respective mailboxes
- Filing vouchers/paid invoices and all other A/P documents
- Assist with vendor payment inquiries
- Problem-solve Past Due Invoices
- Reviewing vendor statements
- Cash Requirements Report
- Issue and print checks as needed
- Code, record and reconcile credit cards weekly
- Reconcile bank statements monthly
- Order and maintain office supplies
- Maintain accurate records of company equipment
- Assist the accounting team with other tasks and special projects as needed
Skills
- Excellent interpersonal and communication skills
- Excellent customer service skills
- Strong proficiency in MS Word and Excel
- Knowledge of accounting software
- Ability to handle confidential information discreetly while maintaining high levels of professionalism
- Strong organizational skills with the ability to multitask in a fast-paced environment
Preferred Experience & Skills
- Bilingual (English/Spanish) is a plus
- 2 years previous experience in a similar role
This position is a direct report to the Senior Accountant and is an on-site position requiring regular attendance at our office. This role does not offer remote or hybrid work options.
