Position Overview
The Executive Assistant to the Director of Sales & Marketing plays a crucial role in supporting the daily operations, communication flow, and outreach efforts of our sales team. This position ensures that our Director of Sales & Marketing, along with the broader sales division, remains organized, informed, and equipped to execute at a high level.
You will help move the entire department forward by managing communications, coordinating schedules, driving outreach, and maintaining our CRM with precision. This role is ideal for someone who is detail-oriented, proactive, and energized by supporting a fast-moving team.
1. What You’ll Do: Email & Phone Outreach
- Send professional introduction and outreach emails on behalf of the sales department.
- Make follow-up calls to prospects and clients.
- Set appointments for sales managers and log all activities in the CRM.
2. CRM Management
- Maintain accurate, up-to-date client and prospect records.
- Track lead status, activity, next steps, and follow-up timelines.
- Monitor pipeline progress and ensure no opportunity slips through the cracks.
3. Research & Prospecting Support
- Identify potential business leads, new categories, and local companies to pursue.
- Research local events, expos, and partnership opportunities across our markets.
- Build outreach lists and prepare materials for sales managers.
4. Social Media Engagement
- Use LinkedIn, Facebook, and Instagram for purposeful outreach.
- Connect with local businesses, send messages, and nurture community relationships.
- Share Like Media content and help increase visibility across markets.
5. Scheduling & Coordination
- Work closely with Allyia and our sales managers to book meetings and confirm appointments.
- Maintain updated calendars and ensure all meeting details are accurate and prepared.
- Coordinate with internal team members on tasks, deadlines, and follow-up.
6. Reporting & Weekly Tracking
- Track daily/weekly outreach activity, responses, and meeting outcomes.
- Prepare simple weekly summaries to support team review and planning.
- Help maintain accountability rhythms inside the sales department.
7. Administrative & Marketing Support
- Assist with marketing projects, campaigns, and community events.
- Help prepare presentation materials, proposals, and follow-up documents.
- Support general administrative needs across the sales and marketing division.
