The Front Desk Receptionist & Volunteer Coordinator is the first point of contact for visitors, clients, and staff. This role is responsible for providing professional front desk and administrative support, while also serving as a Volunteer Coordinator. This position will be highly organized, detail-oriented, and capable of handling sensitive information with discretion. Front Desk Receptionist portion of this job will be shared on daily basis and the number of hours per day may vary depending on the tasks required.

Requirements
- Pass pre-employment physical and PA state police background check
- Progressive experience in office mgmt. or administrative leadership, including supervisory role
- Proficiency in Microsoft office suite, project mgmt. tools, and office mgmt. software
- Excellent written and verbal communication skills
- Strong leadership, organizational, and problems solving skills
- Ability to thrive in a fast paced and dynamic environment, managing competing priorities and meeting deadlines
- Very energetic and positive with a servant leadership mindset
- Reliable detail oriented and self-motivated
- Ability to work under pressure and independently
- A self-starter
- Strong ethical conduct and ability to handle confidential and sensitive information with discretion
- High school diploma or equivalent (associate’s degree preferred).
- Greet and welcome guests coming into the building
- Track arrival and departure times for participants
- Answer and screen incoming phone calls and direct to appropriate person
- Log participant attendance in Teams spreadsheet
- Receive, sort, and distribute daily mail and deliveries
- Maintain office security by following safety procedures and controlling access via the reception desk
- Assist with administrative tasks as needed by other departments
- Promote a positive inclusive and professional office culture aligned with organizations values and goals
- Open and close front office
- Maintain a healthy and safe work environment
- Develop and implement LVS volunteer program across programs and events
- Identify areas that require volunteer support, develop a pool of volunteers
- Coordinate the onboarding process for new volunteers, including registration, orientation and training
- Maintain up to date volunteer database and contact list
- Provide ongoing support and development opportunities to ensure volunteer growth
- Create and manage volunteer schedules to ensure adequate coverage for LVS events and projects. Give oversight or designate oversight at all volunteer activities
- Plan routine volunteer communications and appreciation
- Identify trends, gaps, and opportunities for improvement in the volunteer program
- Maintain accurate records of volunteer activities, attendance, and performance. Respond to TY notes
- Ensure compliance with organizational policies and legal requirements
- Works as a team player with colleagues to promote positive and engaging work environment
- Have biweekly meetings with supervisor for performance review/goal setting implementation/coaching
- Complete annual required online training on Relias training platform
- Attend in-person professional development/team building training
- Advocate for the rights of individuals with IDD in various settings, ensuring compliance with applicable laws and regulations
- Supports the mission and vision of Lighthouse Vocational Services
- All Other tasks assigned
- Able to stand, walk, kneel, bend, and reach for extended periods of time
- Able to sit at a desk for extended periods of time
- Able to use computers, phones, and office equipment
- Able to type, write, and handle paperwork
- Occasionally walking to meetings or other departments
- Good vision to read documents, spreadsheets, and computer screens
- Able to participate in video calls or phone calls
- Able to lift up to thirty-five pounds in case of lifting files, laptops, or small office equipment
- Able to push, pull, and reach up to thirty-five pounds to move supplies or help with office set ups
- Able to move quickly and respond promptly to people entering front area in case of emergencies
