What are the responsibilities and job description for the Office Assistant position at LifeWorks Community Action?
The LifeWorks Energy Services Department audits customers homes to evaluate how and if they can weatherize and make the home more energy efficient. The department is looking for a candidate to ensure the day-to-day functions run smoothly while handling customer intake, applications and maintaining the tracking system for audited and in-progress weatherization work.
Job Duties:
- Provide information and explanations to applicants concerning program services. Scheduling pre & post install inspections with applicants.
- Maintain customer folders and invoices from intake to completion.
- Update and maintain Production Software - status of jobs; enrolling clients; organizing files.
- Process purchase orders and invoices for vendors and subcontractors.
- Assist with the purchase of inventory and maintain sufficient quantities for agency work crews. Process inventory and maintain the inventory database regularly.
- Ensures the posting of all invoices and a completed summary to the client’s folder at the completion of a project.
- Assist with the preparation of regularly scheduled reporting to the state.
- Assist with other clerical duties as assigned and needed by management
Knowledge, skills and abilities:
- Two year college degree and/or two years’ experience in an office management, social services, or preferable, a construction management environment.
- Working knowledge of governmental and social services programs preferred.
- Experience using CRM software and Windows and Google applications.
- Possess basic math skills and good writing skills.
- Must possess a valid driver’s license, reliable vehicle and be insurable to operate agency vehicles.
Schedule: position works Monday – Friday, 7:30am – 4:00pm.
