LifeAct is a local nonprofit dedicated to suicide prevention through education in middle and high schools. Our mission is to equip young people to recognize the warning signs of depression and seek help for themselves or others. Through partnerships with more than 200 schools, our trained instructors reach over 30,000 students each year.

Role Description
The Office Administrator is responsible for the day-to-day administrative and operational functions of LifeAct, ensuring the organization runs efficiently and effectively in support of its mission. This role serves as the central coordination point for office systems, financial processes, internal and external communications, and organizational recordkeeping.
Working closely with the CEO and team members, the Office Administrator manages key administrative functions including payroll processing, accounts tracking, database and records management, and office operations. The position plays a critical role in maintaining accurate financial and organizational data, supporting compliance requirements, and facilitating communication across stakeholders.
As the first point of contact for the organization, the Office Administrator represents LifeAct with professionalism and responsiveness, handling incoming calls, correspondence, and visitors. The role also supports board operations, event coordination, and special projects that advance the organization’s strategic goals.
Success in this position requires strong organizational skills, attention to detail, the ability to manage multiple priorities, and a proactive, team-oriented approach. The Office Administrator contributes to a positive, mission-driven work environment and ensures that internal systems and processes effectively support LifeAct’s impact in schools and communities.
Qualifications
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Proficiency in QuickBooks
- Strong organizational, analytical, and systems-thinking skills
- Exceptional attention to detail
- Excellent verbal, written, and interpersonal communication skills
- Ability to manage multiple projects and competing priorities
- Strong time management and ability to meet deadlines
- Comfort with technology and office software systems
- Previous experience in non-profit organizations or education-related roles is a plus.
