Position Summary
The Office Administrator is responsible for ensuring the smooth operation of the front office by managing administrative tasks, coordinating communication, and supporting both customers and internal staff. This role is essential for maintaining organization, efficiency, and professionalism in a fast-paced environment.
Key Responsibilities
Administrative Support
- Manage daily office operations including filing, data entry, and document management.
- Maintain inventory of office supplies and reorder as needed.
- Prepare invoices, receipts, and other financial documents.
Customer Service
- Greet and assist customers in person and over the phone.
- Schedule appointments and manage service calendars as needed.
- Handle customer inquiries and resolve issues promptly and professionally.
Operational Coordination
- Support the shop manager and technicians with administrative needs.
- Maintain accurate records of vehicle service history and customer interactions.
- Assist with coordination of loaner vehicle agreements and track vehicle usage.
Reporting & Compliance
- Manage payroll, time tracking, and employee records.
- Ensure compliance with company policies and local regulations.
- Generate weekly and monthly reports as requested.
Qualifications
- High school diploma or equivalent; associate degree preferred.
- 2 years of administrative or office management experience.
- Proficiency in Microsoft Office Suite and basic accounting software.
