We’re excited to grow our team by hiring a Properties & Special Projects Coordinator who will oversee day-to-day facilities and workplace operations, including maintenance, vendor management, safety compliance, and special projects, while proactively identifying and resolving issues to ensure a safe, efficient, and well-maintained environment.

What You’ll Do:
- Proactively identify facility-related issues (mechanical, structural, safety, or operational) and ensure timely and effective resolution
- Coordinate and oversee repairs, maintenance, and facility improvement projects, ensuring work is completed on schedule and to established standards
- Conduct regular walk-throughs of facilities to identify risks, deficiencies, and opportunities for improvement
- Ensure compliance with applicable safety standards, building codes, and company policies
- Maintain and/or coordinate with internal infrastructure teams on systems such as security, access control, and audiovisual (AV) setups
- Source, evaluate, and manage third-party vendors, including repair technicians, maintenance providers, security firms, cleaning services, moving companies, and other specialty contractors
- Negotiate quotes, manage service-level expectations, and hold vendors accountable for performance and quality of work
- Own and execute special projects related to facilities, space utilization, office relocations, renovations, and operational improvements
- Act as the primary problem solver for miscellaneous operational issues that fall outside traditional departmental ownership
- Oversee the staffing and day-to-day operations of the on-site coffee shop, including scheduling, vendor relationships, and basic financial oversight
- Ensure employee break rooms and common areas are properly stocked, maintained, and functional
- Assist in other areas where needed
Qualifications:
- 7 years of experience in facilities management, property operations, office management, or a similar hands-on operational role
- Demonstrated experience managing multiple vendors, contractors, and service providers
- Proven ability to independently identify issues, develop practical solutions, and drive matters to resolution with minimal oversight
- Strong proactive mindset with the ability to anticipate issues within areas of responsibility before they escalate
- Excellent organizational and prioritization skills, with the ability to manage multiple projects simultaneously
- Solid financial acumen, including budgeting, cost control, and vendor quote analysis
- Strong communication skills, with the ability to interact effectively with executives, employees, vendors, and contractors
- Experience supporting multi-site offices or mixed-use facilities
- Experience overseeing on-site services such as cafés, food service operations, or employee amenities
- Working knowledge of safety regulations, building systems, and general maintenance best practices
