Job Overview
Busy real estate law firm seeking a dynamic, motivated, and detail-oriented Administrative Assistant / Receptionist to join our team. This position is ideal for someone who is eager to grow within a professional legal environment from the ground up. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills. You will serve as the first point of contact, managing phone systems, greeting visitors, and supporting office management tasks to keep all aspects of the firm running efficiently. Duties
- Provide comprehensive administrative assistant support to attorneys, senior and legal staff, including scheduling appointments, managing calendars, and coordinating meetings
- Greet and assist clients in person, by phone, and via written correspondence in both English and Mandarin Chinese.
- Actively update and maintain database records and case files with accuracy and timeliness
- Handle incoming correspondence, emails, and inquiries with promptness and professionalism
- Assist attorneys and staff with general office administrative tasks
- Manage multiple priorities seamlessly while maintaining accuracy and professionalism
- Maintain an organized and efficient office environment
- Will train the right candidate to grow into an executive assistant to the Senior Operations Manager and/or legal profressional
Qualifications & Requirements
- Bilingual fluency in English and Mandarin Chinese
- Strong written and verbal communication skills in English
- Maintain professional phone etiquette when communicating with clients, attorneys, title companies, real estate agents, and internal teams
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and PDF software
- Excellent organizational and time-management abilities
- Punctual, dependable, and detail-oriented with the ability to shift priorities based on workload
- Self-starter with a proactive, motivated attitude and willingness to learn
- Ability to work independently and take initiative with minimal supervision
