Personal/Executive Assistant (San Francisco, CA)
LHH is teaming up with a well-established real estate investment and operating firm in San Francisco, CA in search of a Personal/Executive Assistant to support a high-level executive.
This is a highly visible, fast-paced role supporting a senior leader with both professional and personal priorities. The position offers a unique opportunity to manage a wide range of responsibilities, from executive coordination to overseeing special projects and unique personal logistics. The environment is detail-driven and collaborative, requiring strong discretion, adaptability, and a proactive approach. The ideal candidate is a seasoned executive or personal assistant who brings a strong service mindset and exceptional organizational skills. This individual is proactive, resourceful, and comfortable managing sensitive and varied responsibilities with professionalism. They are able to anticipate needs, navigate shifting priorities, and maintain composure in high-pressure situations. Strong communication skills and sound judgment are essential for success in this role.
Key Responsibilities:
- Manage complex calendar scheduling across professional and personal commitments, including coordination of family-related logistics
- Oversee email correspondence and respond on behalf of the executive when appropriate
- Coordinate detailed domestic and international travel arrangements, including specialized and highly customized itineraries
- Plan and execute events, including private gatherings and hosted experiences
- Oversee management of multiple private properties, including vendor coordination, maintenance projects, and ongoing support needs
- Handle invoice tracking, expense management, and timely payment processing
- Coordinate personal appointments and maintain organized administrative records
- Support and oversee specialized personal projects requiring research, logistics coordination, and vendor management
- Assist in coordinating complex, personalized leisure activities and experiences requiring detailed logistics and discretion
- Provide occasional support for family-related scheduling and project needs
- Manage relationships with vendors, contractors, and external partners
- Assist with errands and other ad hoc responsibilities as needed
Qualifications:
- Minimum of 10 years of experience supporting senior executives in a personal or executive assistant capacity (required)
- Strong organizational and multitasking skills with exceptional attention to detail (required)
- Excellent written and verbal communication skills (required)
- Proven ability to handle confidential information with discretion (required)
- Advanced proficiency in Microsoft Office (required)
- Experience with design tools such as Canva (preferred)
- Bachelor’s degree (preferred)
- Availability to support occasional after-hours needs (required)
- Experience in real estate or a related industry (preferred)
Job Type: Contract to hire
Start Date: ASAP
Location: Fully on-site in San Francisco, CA
Hours: 8:30 AM - 5:00 PM, Monday through Friday
Pay Rate: $55-$68/hour, depending on experience
