Payroll Specialist
Contract Assignment
Pay Rate: $32–$35/hour
Position Summary
Our client is seeking a Payroll Specialist to support payroll operations and onboarding during a temporary engagement. This role is heavily focused on payroll processing, employee onboarding, and report compilation. There are no true accounting responsibilities; however, a general understanding of how the general ledger functions is helpful.
The ideal candidate is detail‑oriented, customer‑focused, and comfortable working in a fast‑paced environment with changing priorities. Discretion and professionalism are required when handling sensitive and confidential information.
Essential Duties and Responsibilities
- Process weekly, multi‑state payroll end‑to‑end
- Enter payroll inputs including commissions, bonuses, overtime, benefits, and fringe benefits
- Review and reconcile timesheets, attendance, and payroll data prior to processing
- Reconcile payroll prior to transmission and validate results using reports
- Review payroll tax and wage withholding reports (federal, state, and local)
- Create payroll and ad‑hoc reports as needed
- Maintain employee payroll records including direct deposits, tax setup, and HSA accounts
- Communicate with internal departments to resolve payroll questions and corrections
- Respond to employee inquiries related to pay, deductions, and payroll policies
- Send onboarding invitations and process pending new hires
- Verify and maintain garnishments, child support, and levy information
- Set up new work locations and applicable state and local tax codes
- Compile union dues and 401(k) reports for payment processing
- Reconcile payroll to the general ledger and assist with month‑ and quarter‑end activities
- Scan and maintain personnel records while ensuring confidentiality
- Serve as backup support for benefits administration as needed
- Perform additional duties as assigned
Minimum Qualifications
- 3–5 years of payroll processing experience, preferably in a multi‑location environment
- Strong knowledge of payroll processes, time reporting, and compliance requirements
- Working knowledge of federal and state payroll tax regulations
- General understanding of the general ledger (no hands‑on accounting required)
- Strong analytical, organizational, and problem‑solving skills
- Advanced Microsoft Excel skills
- Ability to prioritize and manage multiple deadlines in a fast‑paced environment
- Experience with payroll systems; Paylocity experience preferred, or ability to learn quickly
- Associate’s degree preferred; CPP or FPP a plus
- Professional, dependable, and service‑oriented
