AIA Billing Specialist in Charlotte, NC
We are partnering with a growing construction-focused organization in Charlotte seeking an experienced AIA Billing Specialist to join their team. This position will play a critical role in the billing and collections process, ensuring accurate and timely preparation of AIA pay applications, contract billing, and related construction accounting functions. The ideal candidate will have experience working with general contractors, subcontractors, project managers, and billing portals in a fast-paced environment.
Key Responsibilities
- Prepare, review, and submit monthly AIA G702/G703 pay applications.
- Coordinate with project managers to gather supporting documentation, schedules of values, change orders, and contract requirements.
- Ensure billing complies with contract terms, project milestones, and retainage requirements.
- Monitor outstanding invoices and proactively follow up on collections.
- Research and resolve billing discrepancies, invoice disputes, and payment issues.
- Track and maintain retainage balances and billing schedules.
- Prepare and collect lien waivers, releases, affidavits, and supporting documentation.
- Submit invoices and pay applications through customer billing portals such as Procore, Textura, GCPay, or similar platforms.
- Reconcile project billing activity and assist with month-end reporting.
- Maintain accurate records and documentation for audit and compliance purposes.
- Partner with accounting and operations teams to support project financial reporting and cash flow management.
Qualifications
- 3 years of experience in AIA billing, construction accounting, or project accounting.
- Strong knowledge of AIA pay applications, progress billing, retainage, and construction contracts.
- Experience with lien waivers, draws, and construction documentation.
- Proficiency in Microsoft Excel, including VLOOKUPs, Pivot Tables, XLOOKUPs, and formulas.
- Experience working within construction billing portals and accounting systems.
- Strong attention to detail and ability to manage multiple projects and deadlines.
- Excellent communication and customer service skills.
- Ability to work independently while collaborating effectively with project managers and accounting staff.
Preferred Qualifications
- Experience in the construction, electrical, mechanical, engineering, or specialty contracting industries.
- Familiarity with ERP systems such as Foundation, Sage, Vista, Viewpoint, CMiC, or similar construction accounting software.
Salary : $55,000 - $65,000
