The Executive Assistant supports 2-3 Vice Presidents by managing calendars, coordinating travel, preparing meetings, and ensuring smooth daily operations. This role requires strong organization, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Top Skills Needed
- Calendar and travel management
- Microsoft Office proficiency, especially PowerPoint
- Project coordination for small projects or team meetings
- Manage and maintain Outlook calendars for multiple executives, proactively planning for timelines, preparation time, and scheduling conflicts
- Coordinate domestic and international travel, including itineraries and accommodations
- Prepare executives for meetings by managing agendas, materials, and logistics
- Handle documentation, approvals, expense reports, purchase orders, and executive correspondence
- Draft communications on behalf of executives as needed
- Coordinate logistics for on-site, off-site, and virtual meetings, including meeting spaces, catering, supplies, and vendor coordination
- Proven experience supporting senior-level executives in a corporate environment
- Strong organizational, time management, and project management skills
- Exceptional attention to detail
- Advanced proficiency with Microsoft Office (Outlook, Teams, Excel, PowerPoint, SharePoint, OneDrive)
- Experience handling confidential and sensitive information
- Experience coordinating international travel, including visa requirements
- Familiarity with tools such as SAP Concur, Oracle, myCWT, or Miro
