What are the responsibilities and job description for the Assistant Secretary/Treasurer position at Lewis Run Borough?
The Assistant Secretary/Treasurer provides administrative and financial support to the Borough Secretary/Treasurer and Borough Council. This position plays a key role in maintaining the efficient operation of borough offices and ensuring the accuracy of financial and municipal records. The ideal candidate is organized, detail-oriented, and capable of handling multiple responsibilities with discretion and professionalism.
Essential Duties and Responsibilities:
Administrative Responsibilities:
- Assist in preparing agendas, meeting notices, and minutes for Borough Council meetings
- Maintain official borough records, ordinances, resolutions, and correspondence
- Respond to public inquiries and provide general information regarding borough services and policies
- Assist in preparing reports, forms, and correspondence
- Maintain filing systems (both paper and digital)
Financial Responsibilities:
- Assist with accounts payable/receivable and bank reconciliations
- Process invoices and receipts in coordination with the Borough Treasurer
- Help manage payroll and benefits processing (if applicable)
- Assist in preparing financial reports, budget documents, and audit materials
- Collect and deposit revenues (e.g., fees, permits, taxes) according to established procedures
Other Duties:
- Attend borough meetings when required
- Support other borough staff and departments as needed
- Ensure compliance with applicable Pennsylvania laws and borough ordinances
- Perform other duties as assigned by Borough Council
