Job Overview
Energetic professional able to multi-task and handle a wide range of administrative and support related tasks as well as able to work independently with little or no supervision. Expertly organized, and a skilled multi-tasker. Capable of creating and maintaining data spreadsheets, confident in tackling the daily administrative challenges of supporting staff members, and comfortable with learning new workflow processes in an ever-growing position.
Main Duties & Responsibilities
- Phone reception, distribution of calls and message intake
- Basic accounting
- Handle correspondence, including emails and phone calls, with professionalism and discretion
- Manage and maintain calendars, scheduling appointments and meetings efficiently
- Proofread documents for accuracy, clarity, and adherence to company standards
- Maintain files and records using Timeslips
- Assist in preparing reports as required
- Facilitate the exchange of reports and invoices between the company and its clients
- Assist staff members as needed
Skills & Abilities
- Timeslips experience a plus, but not mandatory
- Proficient in clerical tasks with a strong understanding of office procedures
- Experience with data entry and record keeping
- Detail oriented with impeccable organization
- Computer proficiency in Outlook, Excel and Word
- Strong phone etiquette with the ability to communicate effectively
- Exceptional proofreading skills to ensure high-quality documentation
- Proficient typing skills with a focus on speed and accuracy
- Experience in project coordination, demonstrating an ability to manage timelines and deliverables effectively
- Must be able to multi-task efficiently
