What are the responsibilities and job description for the Judicial Services Specialist position at Leon County Sheriff's Office?
Reporting to the Judicial Services Manager, this position performs advanced administrative work in support of the law enforcement functions of the agency. The majority of duties involve entering, and updating active warrants, capias, writs, injunctions, and risk protection orders for service, verifying and scanning enforceable and non-enforceable law enforcement-related documents, correctly routing phone calls, handling service of process, injunction, and summons/subpoena paperwork, and balancing and preparing daily receipts for deposit. - Ability to politely answer calls, provide correct information, route calls to appropriate agency members, correctly write down all pertinent information, and forward to the appropriate member.
- Ability to date and/or time stamp all incoming mail and correctly distribute the mail to the appropriate units or agency member(s).
- Ability to correctly organize, prepare, and assign all required service of process paperwork.
- Ability to correctly balance daily receipts and submit online deposit with appropriate banking institution.
- Accurately update, process, distribute, mail, and/or e-file returns of service for orders, summons, subpoenas, motions, etc.
- Ability to, when given monies received and/or disburse, accurately record, and maintain such transactions daily and accurately calculate monthly totals.
- Ability to correctly retrieve warrant information from the Justice Information Services (JIS) computer and relay the requested information to the requester in a timely manner.
- Ability to serve criminal summons to individuals and correctly inform them of court date, room number, and time of appearance.
- Ability to provide professional customer service skills to both the public and agency members in a timely, polite, and efficient manner.
- Code and/or classify statistical data for reports.
- Compose and type correspondence, reports and/or other materials.
- Process new warrants and/or capias from other counties.
- Process foreign protection orders (protection orders outside the State of Florida).
- Process out-of-county order setting hearings, temporary, and final protection orders.
- Process, monitor, update, and prepare certified mailings, legal advertisements, and prepare legal documentation from the outcome of Sheriff’s sale for recording with the Clerk of Court in all levy cases.
- Accurately track/input financial information from invoices received and calculate interest per year from date of judgment to current date according to Florida Statutes and prepare disbursements accordingly for Fiscal to issue checks in levy cases.
- Notify officials and/or agencies of warrants executed.
- Accurately enter all orders setting hearings, temporary injunctions, final injunctions, exparte, and risk protection orders in the Florida Criminal Information Center (FCIC) system.
- Research, gather, and preserve records for wanted persons, writs, injunctions, exparte, and risk protection persons for identification and FDLE audit purposes.
- Enter, update, and/or cancel wanted persons in the National Crime Information Center (NCIC)/Florida Crime Information Center (FCIC) system.
- Scan/Verify all incoming paperwork for service.
- Scan/Verify all orders setting hearings, temporary injunctions, final injunctions, exparte, and risk protection orders for accuracy.
- Accurately update and/or cancel temporary injunctions, final injunctions, and risk protection orders in the Florida Criminal Information Center (FCIC) system.
- Request holds for subjects in the Department of Corrections (DOC) custody, as well as other law enforcement agencies.
- Run criminal histories through JusticeInformationServices(JIS) on each Servee for assignment.
- Run criminal histories through Secure Web for each juvenile to be served.
- Request and confirm extradition of wanted individuals with State Attorney’s Office.
- Enter Detainer (DW) in FCIC/NCIC once a Locate on a wanted person has been received via teletype.
- Research Locating agency versus Detaining agency to determine ORI for notification via teletype, when a wanted person is recovered.
- Process flight clearances for Transport Unit through the National Crime Information Center (NCIC)/Florida Crime Information Center (FCIC).
- Receive and process Waivers of Extradition, to include timely notification to our Transport Unit.
- Receive and communicate incoming teletypes between law enforcement agencies and Transport Unit.
- Maintain control and/or follow-up of incoming correspondence.
- Recall warrants from other counties.
- Respond to teletype inquires in a timely manner.
- Provide guidance to other Civil staff when necessary, regarding policies and procedures.
- Process public records requests, timely and accurately, in accordance with Florida Statute 119 and other applicable statutes.
- Receive, process, document, and verify record owner of real property or authorized agent for unlawful occupancy of residential real property (Squatters) as required by Florida Statute.
- When required, serve as Civil Trainer.
- Provide statistical data.
- Request and accurately identify information from the National Crime Information Center (NCIC)/Florida Crime Information Center (FCIC).
- Request and retrieve records from the Driver and Vehicle Information Database (D.A.V.I.D.).
- Monitor the monthly Florida Crime Information Center (FCIC) validation process and validate entries.
- If certified through the Florida Department of Law Enforcement, train other Civil personnel.
- Ability to evolve with ever-changing statutes, administrative code, and/or regulations.
- Ability to work closely with others as a team.
- Ability to effectively communicate both orally and in writing.
- Ability to prepare and present clear, accurate, concise, and objective written oral reports.
- Ability to meet requirements and maintain required licenses and certifications as well as agency-required in-service training.

- Ability to work after 5:00 pm weekdays, when necessary.
- Ability to work weekends and holidays in an on-call status.
- Perform other duties as assigned.
- Associate degree or higher from an accredited college or university required. Similar work experience will substitute on a year-to-year basis.
- NCIC/FCIC Full Access certification required.
- D.A.V.I.D. certification required.
- Two (2) years of prior clerical or administrative work experience is required with experience in a corrections or law enforcement setting preferred.
- Must be computer literate with prior knowledge of Microsoft Office Suite experience preferred.
- Ability to work after 5:00 pm, when necessary.
- Ability to work remotely on weekends and holidays to process any injunctions.
- Must be able to lift, push, carry or pull a minimum of 25 pounds independently.
