What are the responsibilities and job description for the Citizens Relations Assistant position at Leon County Sheriff's Office?
Under the supervision of the Community Programs Administrator, this position serves as the primary reception for internal and external customers in person and via the telephone. The CRA's are stationed in the Lobby of the Administrative Complex to greet guests and answer and direct agency incoming calls. This position serves the public and agency with matters of routine nature as assigned. This position performs entry-level administrative work supporting the agency's law enforcement and/or corrections functions. This position adheres to the agency's core values of honesty and integrity, accountability, teamwork, trust and respect, and commitment to excellence. To be successful in this position, the employee must demonstrate competency in data entry and retrieval skills, time management skills, basic to intermediate computer skills, general communication skills (both written and oral), interpersonal skills, customer service skills, and problem-solving skills.
- Welcomes on-site visitors, determines the nature of business, and announces visitors to appropriate personnel.
- Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.
- Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
- Answers questions about the organization and provides callers with address, directions, and other information.
- Receives, sorts, and routes agency mail and correspondence.
- Performs other necessary clerical and administrative duties, such as filing, photocopying, collating, scanning, and sending out mail.
- Processes pawn tickets received by the agency in a timely manner and records them in the associated database.
- Maintain multiple electronic agency email boxes and send associated requests to the appropriate persons and/or divisions.
- Other duties assigned in support of agency goals and administrative unit tasks and responsibilities.
- Ability to work closely with others as a team.
- Ability to effectively communicate both orally and in writing.
- Ability to prepare and present clear, accurate, concise, and objective written and oral reports.
- Ability to meet requirements and maintain required licensures and certifications as well as agency-required in-service training.
- Ability to adhere to the standards and principles of the agency's core values and professionally represent the agency.
- Ability to report to work timely, consistently, and as scheduled.
- Ability to perform all functions of the job classification without posing a direct threat to the health or safety of other individuals in the workplace.
- High school diploma or general education degree (GED); AND
- Additional vocational training or advanced degree preferred;
- Two years’ work experience in a professional office setting preferred.
- Work is performed in reception area in normal office environment.
- Ability to lift and carry up to 15 lbs. independently.
- This position requires sitting for extended periods of time in performance of duties.
