Overview:
We are seeking a reliable and detail-oriented Administrative Assistant to support a busy law office focused on elder law services. This role is client-facing and administrative, requiring strong communication skills, organization, and the ability to manage multiple tasks efficiently.
Key Responsibilities:
- Conduct intake calls with potential clients in a professional and empathetic manner
- Schedule consultations and appointments with attorney
- Gather and relay initial client information to the attorney
- Follow up with prospective clients to ensure completion of general intake forms
- Confirm upcoming appointments with clients
- Enter and maintain accurate client data in the case management system
- Prepare fee agreements for attorney and client signatures upon engagement
- Collect legal fees and any required advance costs
- Open new client matters and input all relevant contact info into the system
- Assist the Estate Planning Department
Qualifications
- Minimum of a high school diploma or equivalent
- At least three (3) years of customer service experience in a professional environment
- Prior experience in a law office preferred
- Strong organizational skills and attention to detail
- Excellent verbal and written communication skills
- Ability to handle sensitive information with confidentiality and professionalism
- Proficiency with basic office software and willingness to learn case management systems
Pay: $18.00 - $20.00 per hour
