About the Role
The Operations Manager will oversee administrative, technical, and front-office operations across five clinical locations. You’ll manage a team of office administrators, coordinate with clinical and technical staff, and ensure efficient operations, compliance, and patient satisfaction. This position is ideal for a hands-on leader who understands healthcare operations, insurance processes, and EMR systems — and who’s ready to help build the infrastructure for future growth and expansion.
Key Responsibilities
- Oversee day-to-day administrative operations across all clinic locations
- Supervise, train, and support administrative staff; lead by example
- Manage insurance authorizations, EOB reviews, appeals, and billing inquiries
- Collaborate with leadership to improve workflows, efficiency, and patient experience
- Maintain and optimize EMR/EHR system documentation and reporting
- Coordinate payroll, benefits administration, and employee onboarding
- Manage QuickBooks, accounts receivable/payable, and assist with budgeting
- Ensure compliance with HIPAA, Medicare, and Medicaid requirements
- Conduct insurance audits and monitor outstanding authorizations
- Lead regular administrative meetings; report directly to the Vice President
- Develop and maintain internal policies, procedures, and quality control systems
- Work closely with clinical and technical teams to ensure seamless operations
- Participate in leadership strategy meetings and present improvement initiatives
Minimum Qualifications:
- 6 years of medical office management or multi-site healthcare operations experience (required)
- Strong knowledge of insurance billing, authorizations, and healthcare compliance
- Proficiency in EHR/EMR systems, Microsoft Office, and QuickBooks
- Bachelor’s degree in Healthcare Administration, Business, or related field (required)
- Excellent leadership, communication, and organizational skills
- Understanding of ICD-10, HIPAA, Medicare, and Medicaid
- Analytical, resourceful, and capable of handling multiple priorities
- Proven ability to lead teams, develop staff, and maintain accountability
Preferred Skills
- Experience in orthotics, prosthetics, rehabilitation, or similar healthcare services
- Familiarity with marketing, patient engagement, or social media management
- Process-improvement mindset (Lean, Six Sigma, or similar experience a plus)

Schedule
Monday–Friday, 8:00 AM–4:30 PM (Wednesday until 5–6 PM)
Occasional overtime or travel between offices as needed
No weekends

Primary office in Amherst, Ohio, with travel required between five locations across Northern Ohio (North Olmsted, Amherst, Sandusky, Toledo, Niles)
