Job Description: Administrative Assistant to the Director of Student Services

Reports to: Director of Student Services
Qualifications:
Three or more years of experience as an Administrative Assistant (PREFERRED)
High School diploma plus additional specialized training equal to two years of college
Strong verbal and written communication skills
Familiarity with special education processes and timelines
Proficient in the use of PowerSchool, Frontline/eSped, and Infinite Visions (PREFERRED)
Knowledge of database and Google applications and ability to understand, apply, and use software applications (e.g. Word, Excel)
Knowledge of accounting and bookkeeping principles
Organizational and time management skills
Ability to maintain confidentiality of information regarding school district financial and other information
Ability to work independently as well as work cooperatively with others
Ability to prioritize multiple tasks and perform detailed work accurately and efficiently
Able to handle a high-volume workload in a fast-paced environment
Responsibilities:
Performs diversified administrative duties for the Director of Student Services
Oversees the Director of Student Services calendar for appointments, meetings both in-district and out-of-district and conferences
Respond to routine matters not requiring the Director of Student Services attention in accordance with established policies and procedures
Maintain appropriate filing systems and procedures for all Special Education files, both active and inactive located in the Student Services Office
Process IEPs and IEP documents, 688 Referrals, Evaluations, Meeting Notices, Referral Packets
Update student data for both in-district and out-of-district information
Collaborating with Team Chairs and special education staff to maintain compliance
Create SY and ESY specialized transportation rosters, and work with transportation vendors for routes and cost
Create and maintain account spreadsheets for out-of-district tuitions, student transportation, meeting timelines, and budgeting purposes
Purchase order processing, maintain records, and follow-up with vendors and accounts payable as necessary
Performs any bookkeeping and related tasks for all SpEd purchase orders, and invoice processing
Maintain the district special education student records both active and archived
Provide Frontline/eSped technical assistant, maintain data, and complete yearly rollover
Assist the ESY Coordinator with the ESY program, track parent responses, process recommendations, documents, and transportation
Monitor, track, and submit all SpEd Indicator data
Coordinate, schedule, and create all meeting documents for all out-of-district students
Participate and submit Medicaid data monthly and quarterly
Work with Data & Reporting Specialist/Grant Writer to verify Sims data
Maintain all ELL original student records
Arrange for interpreters for team meetings (languages, deaf, etc.)
Assists Team Chairs with secretarial duties and record-keeping
Assist the Director of Student Services with Circuit Breaker reporting and processing
Salary : $50,000 - $60,000
