Order Management Specialist

MISSION

Serve as the primary point of coordination between customers and internal business functions to ensure accurate order execution, exceptional customer service, and timely fulfillment while supporting operational excellence.

KEY ACCOUNTABILITIES

Customer Order Management

• Manage the complete order lifecycle from order entry through invoicing, maintaining accurate customer pricing, and order information while ensuring accuracy, timeliness, and compliance with company policies

Customer Service

• Serve as a primary point of contact for customers and sales representatives regarding order status, product availability, delivery schedules, and account inquiries.
• Build positive relationships through timely, professional communication and effective issue resolution.

Cross-Functional Coordination

• Coordinate daily with Sales, Operations, Transportation, Logistics, Finance, and Customer Service to ensure successful order fulfillment.
• Monitor customer credit holds, product availability, and order exceptions, coordinating with appropriate departments to resolve issues.

Operational Support

• Support month-end activities, reporting requirements, and operational initiatives.
• Maintain organized documentation and records in accordance with company procedures.

Compliance

• Ensure compliance with company policies, internal controls, and applicable regulations while maintaining confidentiality of customer and company information.

MAIN POSITION REQUIREMENTS

• EDUCATION:
• High School Diploma or GED required.
• Associate's or Bachelor's degree in Business, Supply Chain, Logistics, or a related field is preferred.
• EXPERIENCE:
• 3-5 years of experience in customer service, sales support, order management, or sales administration within a manufacturing, distribution, or industrial environment.
• Experience with end-to-end order management is preferred.
• SPECIFIC KNOWLEDGE:
• Proficient in Microsoft Office applications, particularly Excel, Outlook, and Word.
• Strong computer skills with the ability to learn new software and systems quickly.
• Experience with order management, inventory, pricing, and customer master data is preferred.
• Experience working with ERP systems; SAP experience preferred.
• BUSINESS UDERSTANDING:
• Working knowledge of order-to-cash processes.
• Basic understanding of inventory, logistics, transportation, and accounting principles as they relate to customer order fulfillment.
