We are seeking a highly organized, detail-oriented Enrollment & Fulfillment Specialist to join our Administration Department. This role is essential to ensuring that members receive accurate enrollments, timely fulfillment packets, and exceptional service—especially during high-volume periods.

This is a high-volume, detail-intensive role that includes administrative processing along with hands-on shipping, packing, and fulfillment responsibilities. Key Responsibilities
- Process fulfillment packets, policy documents, and high-volume outbound shipments.
- Complete enrollment updates including adds, drops, changes, and verifications.
- Maintain accurate enrollment and fulfillment data using MS Excel or similar tools.
- Verify member information and process refunds as required.
- Manage incoming returned mail and ensure corrections are completed promptly.
- Work with urgency and accuracy to meet internal processing and fulfillment goals.
- Communicate clearly, professionally, and enthusiastically with internal/external stakeholders.
- Build strong, long-term relationships with members, clients, and colleagues.
- Respond to all phone messages and emails within 24 hours/same day.
- Research enrollment or payment issues and provide timely resolution.
- Identify improvements to enhance service levels and process efficiency.
- Take ownership of tasks and ensure follow-through and completion.
- Maintain a deep understanding of LegalEASE systems, workflows, and policies.
- Provide backup support to Administration and other departments during outages or high-volume periods.
- Perform other duties as assigned.
Required
- Meticulous attention to detail with strong accuracy in data processing
- Ability to manage multiple priorities in a fast-paced environment

- Excellent written and verbal communication skills
- High level of professionalism and discretion
- Proficiency in Microsoft Office Suite, especially Excel and Word
- Bachelor’s degree
- Shipping, fulfillment, warehouse, or mailroom experience (packing, labeling, bulk mailing)
- Experience working in a high-volume or production-like environment
- Comfort with physically demanding tasks such as lifting, carrying, and prolonged standing
- Prior experience in benefits, insurance, or administrative operations
- Strong organizational ability with efficiency in handling repetitive tasks

Physical Demands
- Regularly requires speaking, hearing, and extended periods of computer work
- Frequently requires standing, walking, bending, reaching, and handling fulfillment materials
- Must be able to lift, move, and carry boxes weighing up to 30–40 lbs on a regular basis
- May require prolonged standing or packing during peak fulfillment seasons
- Full-time, non-exempt position (OT eligible)
- Expected 40–50 hours per week
- Work hours fall between 7:00 AM – 7:30 PM, 8 hour shift determined with the Director
- Overtime—including some weekends—is expected during peak seasons, with advance notice
- Includes company-paid holidays, personal days, sick days, and vacation days
- Less than 10% travel may be required
