What are the responsibilities and job description for the Litigation Legal Assistant/Administrative Assistant position at Legal Advocates Group, LLC?
REQUIREMENTS:
- At least three years of working at a litigation-oriented law firm (preferably involving personal injury claims).
QUALIFICATIONS:
- You have experience overseeing and/or managing a litigation-oriented law office, working with other staff members and handling all tasks needed to keep the office running efficiently and ensuring all deadlines are met.
- You are self-motivated with a "get it done" attitude.
- You have experience ordering and organizing medical records and bills, as well as other documents and evidence needed to prove a client’s legal claim.
- You have experience handling incoming phone calls and emails for a law firm.
- You are extremely organized and detail oriented.
- You are not easily defeated and strongly believe success is earned, not given.
- You have experience scheduling litigation-related matters and handling the calendar of one or more litigation attorneys to ensure no deadline is ever missed.
- You are a self-starter, responsible, and can work without the need for consistent oversight and management.
- You have the ability to work under pressure and meet deadlines.
- You are capable of taking constructive criticism and have a genuine desire to consistently learn and grow as a professional.
- You have good interpersonal and communication skills.
- You consistently have a positive attitude and enjoy working in a legal environment.
- You understand the importance of meeting deadlines in a litigation law firm and consistently meet such deadlines.
- You know how to use case management software (i.e., Filevine, Clio, etc.), Microsoft Office, Word, Excel, Adobe, and other programs.
- You would enjoy communicating with clients, medical professionals, court personnel, and a wide variety of other people about legal matters.
JOB-RELATED TASKS:
- Managing and overseeing all administrative responsibilities and the day-to-day operations of the legal office to ensure everything runs smoothly and the clients are very satisfied with our legal services.
- Carefully track deadlines on a daily basis and input them into the appropriate calendar to ensure no deadlines are ever missed.
- Help manage the firm’s caseload and work with other staff members to ensure the cases are being investigated and worked up efficiently and effectively.
- Work as a team with a small staff, providing any assistance needed to help improve the firm’s services.
- Monitor and screen calls, emails, and voicemails for attorneys.
- Conduct initial phone consultations with potential clients.
- Pay case-related bills, as well as send invoices and retainer fee requests.
- Independently obtain and organize medical records and/or other documents relevant to our clients’ claims.
- Keep all client information confidential.
- Communicate with clients, medical professionals, court personnel and others to ensure our clients are kept up-to-date on their case and the firm obtains the material we need to provide the best representation possible.
- Schedule case-related matters such as depositions, mediations, etc.
- Serve as the initial and/or primary point of contact for many of our clients.
- Consistently provide efficient and effective administrative assistance.
- Up our game with respect to caring for clients to help ensure that every client has a positive experience working with us, even when we can’t control certain outcomes.

Pay: $17.00 - $22.00 per hour
