Location: Tracy, CA
Status: Full-Time | Hourly | Non-Exempt
At Living Grace Assisted Living and Memory Care, we’re committed to delivering excellence in care and operations. We’re looking for a friendly, detail-oriented Office Assistant to ensure smooth administrative and financial processes that support our residents and team. If you’re organized, compassionate, and skilled at balancing multiple priorities, this role is for you!
What You’ll Do:
- Greet and assist residents, visitors, and staff with a welcoming smile
- Manage and audit resident and employee files for accuracy and compliance
- Handle accounts receivable, rent collections, and follow-up calls at 10/20/30 days
- Process and verify payments, deposits, and financial reports
- Support residents with SSI/medical eligibility processes
- Assist with payroll prep, timesheet audits, and PTO/sick balance tracking
- Coordinate new hire onboarding, employee training sessions, and terminations
- Cover the front desk and coordinate resident transportation and appointments
- Keep census reports, move-in/move-out records, and documentation updated
- Support leadership with administrative tasks that keep the community humming
✅ Requirements:
Must be 18 years old High school diploma or equivalent required DOJ fingerprint clearance (LIC 508) & TB test/health screening (LIC 503) Ability to lift up to 25 lbs. and perform extended periods of sitting, standing, and walking Mobile phone capable of calls/text for work purposes Valid driver’s license and insurance OR reliable transportation Ability to clock in/out via designated software (per CA labor code) Subject to a 90-day probationary period I-9 eligibility verification and reference checks required
Preferred:
Experience in senior living, healthcare, or property management Accounts receivable, payroll, or HR support experience Customer service or hospitality background Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
