Position Overview
We are seeking a detail-oriented and highly organized HR Coordinator to support our H-2A workforce operations. This role plays a critical part in onboarding, payroll processing, compliance, and employee lifecycle management for seasonal agricultural workers.
The ideal candidate is comfortable working across multiple systems, managing time-sensitive processes, and ensuring accuracy in a fast-paced environment.
Key Responsibilities
Onboarding & Employee Setup
- Coordinate onboarding of H-2A workers, including system setup and documentation
- Enter and maintain employee records in systems such as Seso, Time Portal, and CenterPoint
- Assign employee IDs and create digital and physical employee files
- Set up direct deposit accounts and manage Intermex card distribution
- Prepare onboarding materials, logs, and compliance documentation
- Collaborate with Workforce Coordinators to ensure accurate and timely worker intake
Payroll & Travel Pay Processing
- Process weekly payroll for H-2A workers, ensuring accuracy of timesheets and hours worked
- Review and validate timekeeping data, including work delays, leave, and sick time
- Import timesheets and create payroll batches in CenterPoint
- Process travel reimbursements (partial and remaining incoming travel)
- Generate payroll reports and coordinate direct deposit file uploads
- Record payroll-related journal entries in QuickBooks
Travel & Reimbursement Administration
- Create and maintain travel logs for incoming and outgoing workers
- Calculate travel reimbursements, including meals, transportation, and visa-related costs
- Verify reimbursement data against system reports and vendor quotes
- Coordinate payment timing and ensure proper documentation and approvals
Employee Lifecycle & Offboarding
- Process employee departures, including travel home pay and final payroll adjustments
- Review departure documentation and ensure accuracy of last day worked and hours
- Coordinate contract deposit refunds and apply credits in QuickBooks
- Assist with bonus calculations and payroll processing for departing employees
Compliance & Driver Certification
- Maintain driver compliance records and ensure certifications remain current
- Process FLCE driver applications and renewals
- Coordinate required documentation such as fingerprints, medical exams, and license translations
- Submit driver information to insurance providers and maintain tracking logs
Reporting & Administrative Support
- Prepare contract progress reports (30- and 60-day milestones)
- Track contract hours, worker performance, and remaining labor needs
- Assist with invoicing support, including deposit invoices and documentation
- Maintain organized digital filing systems and ensure audit-ready records
- Support year-end processes such as W-2 preparation and reporting
Qualifications
- 2 years of experience in HR, payroll, or administrative coordination (agriculture or H-2A experience preferred)
- Strong attention to detail and ability to manage high-volume, repetitive processes with accuracy
- Experience with payroll systems (CenterPoint preferred) and accounting software (QuickBooks a plus)
- Proficiency in Microsoft Excel and Microsoft 365 tools
- Ability to manage multiple deadlines and prioritize tasks effectively
- Strong communication and organizational skills
Preferred Qualifications
- Experience working with H-2A programs or seasonal workforce management
- Familiarity with compliance requirements for agricultural labor contractors
- Experience with systems such as Seso, Time Portal, or similar workforce platforms
