Job Overview
We are seeking a highly organized and proactive Executive Assistant to support the Founder & CEO a multi-company operating platform spanning construction, real estate development, and services. This is not a traditional administrative role. You will own the executive's time, act as a trusted gatekeeper and bring order to an evolving organization. Responsibilities
Executive Support & Time Management
Own and optimize the CEO's calendar, including prioritization and meeting triage
Gatekeep meetings and requests to protect focus on highest-value work
Manage inbox daily: filter, draft responses, and flag priorities
Coordinate complex travel and logistics
Meeting & Communication Management
Prepare agendas, materials, and briefing documents
Ensure meetings have clear objectives and outcomes
Track action items and follow up across teams and partners
Serve as a point of contact for lenders, investors, and senior leaders
Operations & Project Support
Coordinate projects and deadlines across multiple operating companies
Maintain organized systems for documents and contracts
Assist with expense reporting, bill pay, and light financial tracking
Support recruiting coordination and onboarding logistics
Trust, Discretion & Judgment
Handle sensitive information with absolute confidentiality
Anticipate needs and solve problems proactively
Make independent decisions aligned with executive priorities
Skills
- 5 years supporting a Founder, CEO, or senior executive is a plus
- Experience in fast-paced, entrepreneurial, or multi-company environments
- Strong judgment, prioritization, and communication skills
- High discretion and professionalism
- Proficiency with Google Workspace / Microsoft Office/PowerPoint
- Project management experience is a plus
