Job Description:
As the Bookkeeping Assistant, you’ll play a key role in maintaining accurate financial records, assisting with client billing, managing trust accounts, and ensuring compliance with legal accounting standards. This position is ideal for someone with a strong eye for detail, a solid understanding of accounting, and a high level of discretion. This position is not remote, and requires in-person work in our Ludlow, MA Office.
Preferred Skills and Qualifications:
- 1 year of bookkeeping, accounting, or administrative experience (law office preferred)
- Working knowledge of trust accounting or willingness to learn
- Proficiency in QuickBooks, Microsoft Excel, and legal billing systems
- High level of accuracy and attention to detail
- Excellent time management and organizational skills
- Ability to maintain confidentiality and adhere to ethical standards
- Associate degree in accounting, finance, or related field preferred
Job Responsibilities:
- Record and reconcile daily financial transactions
- Process invoices, payments, and deposits
- Assist with managing client trust (IOLTA) accounts in accordance with state bar rules
- Reconcile bank and trust statements monthly
- Prepare client invoices and ensure timely billing
- Support payroll and employee expense tracking (as needed)
- Maintain organized and confidential financial files physically and electronically.
- Assist with audit preparation and financial reporting
- Use legal billing/accounting software (e.g., QuickBooks, Practice Panther, Qualia, Microsoft Office 365)
