Role Summary

Are you the person who likes to get out in the field, talk to tenants, solve problems, and figure out what needs to happen next?

We're looking for a hands-on Assistant Property Manager to help oversee a portfolio of approximately 55 retail properties across Illinois, Missouri, Kansas, and Oklahoma. This is a field-based position with approximately 50–70% overnight travel required. You must be comfortable spending significant time on the road and visiting properties throughout the territory. On your non-travel days you will work from your home office.

You need to be resourceful, organized, comfortable talking to people, willing to learn, and willing to roll up your sleeves when something needs to get done and potentially climbing on the roof or elsewhere to inspect our property.

This is an individual contributor role with no direct reports.

Primary Responsibilities

Operations & Maintenance

• Establish and maintain positive relationships with tenants to understand their business and operational needs
• Coordinate and manage all repairs, general maintenance, and capital improvements for each property
• Manage third-party vendor relationships for maintenance, landscaping, snow removal, and other services
• Oversee bid process and vendor selection for all recurring services, repairs, and capital improvements
• Schedule and confirm required annual inspections and tests
• Respond to emergency situations and all municipality violations or requests
  
  

Asset Management

• Provide regular property condition reports and inspection documentation to Regional Vice President
• Manage property operating budgets and recommend capital expenditures including roof replacement, parking lot improvements, and signage updates
• Create comprehensive plans for occupied and vacant units regarding utilities, winterization, and marketability
• Conduct move-in/move-out inspections and provide documentation to corporate office
  
  

Tenant Relations & Administration

• Act as primary liaison for tenant concerns, requests, and operational issues
• Manage lease administration including rent collection and monitoring landlord lease rights
• Serve as owner representative during tenant buildouts and coordinate with contractors
• Provide post-occupancy support to ensure tenant success and retention
  
  

Stakeholder Management

• Develop positive relationships with civic leaders, first responders, building and health departments, and utility companies
• Maintain detailed records and provide regular status updates through company systems
  
  

Leasing Opportunity

• This role also offers involvement in strategic leasing across a substantial retail portfolio, partnering with the Regional Vice President on select leasing opportunities from prospect identification through lease execution
• Conduct property tours, support lease negotiations, and coordinate with the Legacy construction team on tenant improvement projects and permit processes
• Identify opportunities to enhance property income through tenant expansions and renewals, and maintain leasing pipeline records for leadership updates
  
  

Required Qualifications

Education & Experience

• Bachelor's degree preferred
• Commercial property management experience required
• Experience managing retail or mixed-use properties preferred
• Leasing or sales experience a plus
• Knowledge of commercial lease terms and property operations

Supervisory Responsibility: None

Schedule & Travel

• Full-time position: Monday-Friday
• Occasional evening/weekend work for emergencies
• Daily travel to properties required
• 50-70% overnight travel within territory
  
  

Physical Requirements

• Field-based role with extensive property site visits
• Ability to conduct property inspections and coordinate on-site activities
• Ability to perform physical tasks as needed, such as moving furniture, signage, or equipment on-site
