As we continue to grow, we’re looking for an Executive Assistant who can help bring organization, efficiency, and structure to our operations. This is more than a traditional administrative role—you’ll work directly with the owner to manage priorities, coordinate permitting, develop standard operating procedures (SOPs), assist with hiring, and keep the business running smoothly.

Position Summary
The Executive Assistant serves as the right hand to the owner, managing day-to-day administrative operations while ensuring projects, schedules, and internal processes stay organized and on track. This role requires someone who is proactive, detail-oriented, professional, and confident making decisions and keeping others accountable.
The ideal candidate enjoys solving problems, building systems, and finding ways to improve efficiency. You should be comfortable handling confidential information, communicating with customers and team members, and managing multiple priorities without constant supervision.
Responsibilities
- Manage the owner’s calendar, appointments, meetings, and daily schedule.
- Coordinate permitting and track permit status with local building departments.
- Develop, document, and maintain Standard Operating Procedures (SOPs).
- Create professional documents, presentations, and marketing materials using Canva.
- Assist with recruiting, interviewing, onboarding, and hiring activities.
- Organize company files, records, and digital documents.
- Coordinate meetings and follow up on action items to ensure completion.
- Screen calls, emails, and correspondence while prioritizing urgent matters.
- Assist with project coordination and administrative support.
- Improve office systems and workflows to increase efficiency.
- Handle confidential business information with professionalism and discretion.
- Perform other executive and administrative duties as assigned.
Qualifications
- Previous experience as an Executive Assistant, Office Manager, Administrative Assistant, or similar role preferred.
- Exceptional organizational and time management skills.
- Strong attention to detail with a high level of accuracy.
- Excellent written and verbal communication skills.
- Proficient with Microsoft Office and Google Workspace.
- Experience with Canva or the ability to quickly learn.
- Ability to manage multiple priorities in a fast-paced environment.
- Comfortable learning new software and technology.
- Self-motivated with excellent problem-solving skills.
- Professional, dependable, and trustworthy.
