Position Summary
The Operations Administrative Assistant will play a key role in supporting transportation operations through administrative, compliance, and customer service functions. This individual will assist with contract management, dispatch coordination, office administration, and compliance support while maintaining strong communication across the organization.
Key Responsibilities
Provide administrative support to the operations team, including filing, correspondence, scheduling, and office organization.
Prepare, review, and maintain contracts and operational documentation.
Support dispatch coordination by assisting with scheduling and communication between drivers, aides, and management.
Act as a point of contact for customers, addressing inquiries and ensuring excellent customer service.
Manage incoming and outgoing mail, office supplies, and general administrative tasks.
Support compliance by maintaining records, assisting with audits, and ensuring adherence to state and federal transportation regulations.
Collaborate with the Bookkeeper and other staff during monthly check-ins and cross-functional meetings.
Assist with process improvements and provide administrative support during organizational transitions.
Qualifications
Minimum of 2 years of administrative or operational support experience, preferably in transportation, logistics, or a related field.
Strong organizational and multitasking skills with attention to detail.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new software systems.
Ability to work independently and as part of a team in a fast-paced environment.
Strong customer service orientation.
High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
Work Schedule & Environment
Primary location: San Jose, CA office.
Standard schedule is in-office; hybrid option may be available after training and performance review.
Must be available for occasional onsite meetings and operational needs.
