Payroll Specialist
Reports To: Accounting Manager, HR Director
Position Summary
The Payroll Specialist administers all payroll functions while helping the accounting manager ensure compliance with federal, state, and local regulations. This role manages payroll processing, payroll reporting, benefit deductions, payroll audits, and payroll system maintenance.
Essential Duties & Responsibilities
Payroll Administration
- Process weekly payroll accurately and timely.
- Review and audit employee time records.
- Conduct payroll adjustments, bonuses, and final pay calculations.
- Process garnishments and wage assignments.
- Review and audit weekly job costing allocations.
Benefits & Retirement Administration
- Process benefit deductions and payroll-related benefit changes.
- Coordinate payroll deductions for medical, dental, vision, life insurance, and disability plans.
- Establish and maintain HSA deductions and employer contributions.
- Process and reconcile 401(k) deductions and employer contributions.
- Coordinate payroll-related vendor funding.
Compliance
- Ensure payroll tax compliance and reporting.
- Assist with preparing W-2s and year-end payroll reporting.
- Maintain payroll records and documentation.
- Support certified payroll reporting when required.
- Process weekly certified payroll reports.
System Administration
- Manage HH2 payroll system administration.
- Maintain earnings, deduction, and tax codes.
- Troubleshoot payroll system issues.
- Support integrations between payroll and accounting systems.
Qualifications
- High school diploma is required.
- Bachelor’s degree or equivalent payroll experience preferred.
- CPP certification preferred.
- 2 years of payroll administration experience.
- Knowledge of payroll tax laws and regulations.
- Experience with HH2 or similar payroll platforms preferred.
- Strong attention to detail and confidentiality.
