Under the general supervision of the High School Principal, the Principal Administrative Assistant provides high-level administrative and organizational support to ensure the efficient operation of the school. Essential Functions
- Provides direct administrative support to the Principal, including managing calendars, scheduling meetings, and coordinating daily activities.
- Serves as the primary point of contact for the Principal's office, ensuring a professional, responsive, and secure environment for staff, students, parents, and visitors.
- Prepares, edits, and manages correspondence, reports, memos, and other official documents.
- Maintains accurate and organized records, including student, personnel, and school operational documents, in compliance with applicable laws and district procedures.
- Coordinates meetings, including preparation of agendas, materials, and follow-up documentation.
- Assists with school-level reporting requirements, data entry, and documentation for district and state submissions.
- Manages incoming calls, emails, and inquiries, routing information appropriately and ensuring timely responses.
- Supports school operations by coordinating logistics for events, testing, and other administrative functions.
- Assists with substitute coordination, purchase orders, and other operational tasks as assigned.
- Maintains confidentiality of sensitive information in accordance with FERPA and district policies.
- Supports crisis response and administrative needs as directed by the Principal.
- Performs other duties as assigned by the Principal or designee.
- Strong organizational and time-management skills with the ability to prioritize in a fast-paced environment.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion and professionalism.
- Proficiency in office technology, including word processing, spreadsheets, email systems, and student information systems (e.g., Infinite Campus).
- Ability to manage multiple tasks and interruptions while maintaining accuracy and efficiency.
- Strong interpersonal skills with the ability to interact effectively with students, staff, parents, and community stakeholders.
- Working knowledge of school operations, policies, and procedures preferred.
- High school diploma or equivalent required.
- Associate degree or higher preferred.
- Previous experience in an administrative support role, preferably in a school or public sector environment.
- Experience with school information systems and office management systems preferred.
- Office environment within a school setting.
- Frequent interaction with students, staff, parents, and the public.
- May require occasional extended hours to support school events or deadlines.
