What are the responsibilities and job description for the Fulfillment Coordinator position at LED Phantom Distribution?
LED Phantom — a family-owned, minority- and women-owned leader in innovative LED lighting solutions — is seeking a Fulfillment Coordinator to support our Sales team and ensure smooth, accurate order fulfillment for our customers.
In this role, you’ll be the bridge between Sales, Warehouse, and Shipping, ensuring every lighting order is processed correctly, packed precisely, and shipped on time. You will help keep projects moving, support Account Managers, and maintain exceptional customer service through accurate communication and attention to detail.
Key Responsibilities:
- Review and process sales orders for LED fixtures, components, and custom builds
- Communicate real-time inventory levels, lead times, and availability to Sales
- Generate pick lists and coordinate with warehouse staff for order preparation
- Provide tracking numbers, shipping confirmations, and delivery updates
- Manage backorders, shortages, and customer-specific project requirements
- Coordinate with carriers (UPS, FedEx, LTL) to schedule pickups and resolve issues
- Support Sales with quotes (shipping cost, freight class, pallet counts)
- Maintain daily fulfillment reports and monitor order flow
- Ensure accuracy in documentation for lighting shipments and deliveries
What We’re Looking For:
- Experience in fulfillment, logistics, or warehouse operations (lighting industry a plus)
- Strong communication skills—comfortable working daily with Sales & Warehouse
- Detail-oriented with strong organizational habits
- Familiar with inventory systems, WMS, or ERP platforms
- Able to work in a fast-paced environment with tight customer deadlines
- Problem-solving mindset, especially with custom lighting orders
