Job Goal(s):              

The primary goal of the Learning Center Building Secretary is to perform a variety of secretarial duties necessary for the smooth and efficient daily operations at the Bert Goens Learning Center.

Qualifications:

 

Education:

High school diploma or equivalent required

Post-secondary education in administrative assistance preferred

 

Work Experience:

  • Software literacy, including Microsoft Word, Excel, Publisher, Powerpoint and Quickbooks
  • Previous experience in an office setting
  • Experience in completing State and Federal applications,
  • verification reports and using State and Federal pupil accounting
  • Experience in accessing and utilizing IEP software and familiarity 
  • with IEP requirements

 

Skills:

  • Effective and efficient office organization and management skills
  • relative to attending to people and tasks, processing communications, storing and retrieving information, scheduling, monitoring and follow up
  • Knowledge of special education laws and due process procedures
  • Finance skills relative to accounting records for students and payroll
  • information for staff, processing of purchase requisitions and tracking
  • budget line items
  • Accounting skills, including student lunch program, state lunch count,
  • pupil accounting and audits
  • Ability to understand and knowledge of staff contracts with ability to
  • coordinate and complete human resource tasks for contracts, staff attendance, new employee forms and others
  • Demonstrated proficiency in use of Microsoft Word, Excel, Powerpoint, Publisher and Quickbooks

 

Essential Job Functions:

 

Two Building Secretaries will collaborate to carry out the following responsibilities:

 

Building Responsibilities:

  • Assist the principal in maintaining a daily schedule, including preparation for meetings and appointments.
  • Address matters brought to the principal’s attention in his/her absence or when administrative action is not warranted.
  • Contact principal and appropriate administrators in an emergency or matters necessitating administrative authority.
  • Maintain required records for State and Federal reports, projects, contracts and general information file system.
  • Process and maintain records for professional development requests, reports and hours.
  • Provide backup support to the other building secretary in his/her absence and in times of work overloads.
  • Receive and route phone calls to the appropriate place regarding the approximately 150 students in the BGLC.
  • Compile, update and distribute the school calendar, school newsletter and other home/school communications to parents and staff.
  • Maintain and update BGLC staff employee data.
  • Assemble, route and maintain all due process paper work required for the certification, planning and placement of students.  Ensure technical compliance of IEP paperwork for approximately 150 students.
  • Order and maintain office supplies and equipment, including supplies for VBISD classrooms outside of the BGLC as assigned by the Principal or Director of Special Education.
  • Assist in the preparation for and administration of State mandated student assessments, ensuring that all compliance requirements are met, as needed.
  • Maintain all student food service records as required by the VBISD, the State of Michigan and the Federal Government.
  • Coordinate and approve all free/reduced lunch applications.
  • Collect lunch payments and maintain all accounting records related to school lunches.
  • Communicate with parents and teachers regarding lunch payments.
  • Utilize Workforce online software to maintain an accurate and up-to-date account of staff absences, sick days, personal business days and maintain records of early releases and flex time.  Enter this information in a timely manner for weekly Principal approval.
  • Maintain office to appear and operate in a professional, orderly and clean manner.
  • Perform additional tasks, responsibilities and duties as assigned by the Learning Center Principal.
  • Valid driver's license required

 

Terms of Employment: As per master agreement and provisions established by the Van Buren Board of Education.
