We are seeking a highly organized and detail-oriented School Outreach Operations Coordinator to support our growing educational services team. This full-time, in-office role is essential to ensure the smooth coordination between internal staff, educational consultants, and school district partners. The ideal candidate will be proactive, tech-savvy, and capable of managing multiple priorities in a fast-paced, mission-driven environment.
About the Role - Key Responsibilities:
- Manage, schedule, and track workshops/services using an online platform/tools, ensuring timely and accurate results.
- Prepare and organize materials needed for workshop/service delivery keeping dates, timelines, and deadlines in mind.
- Update and refine presentation content to align with the school’s needs and ensure we deliver to meet or reset on expectations. Partner with management when content creation is needed.
- Escalate any issues with timelines, workshops, consultants, or other challenges that may interfere with meeting customer expectations or meeting a deadline.
- Schedule and manage virtual training sessions using platforms such as Zoom, Webex, or similar tools.
- Design flyers and promotional materials for services, incorporating links and/or QR codes for easy access.
- On-board and maintain all paperwork and contracts with Educational Consultants.
- Collect, review, and process consultant invoices in alignment with company procedures.
- Coordinate workshop/service dates with Educational Consultants and create detailed Work Assignments.
- Offer technical assistance to Educational Consultants, school administrators, and training participants.
- Provide general administrative support, including answering phone calls, emails, and other communications in a timely manner.
- Implement and uphold office policies, procedures, and professional standards.
- Perform other duties as assigned to support the success of LAUS sales and service teams.
Qualifications
- Strong organizational and time management skills with attention to detail.
- Experience with scheduling and meeting deadlines is required.
- Excellent written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Excel/Word/Outlook/Teams/SharePoint/etc.), Google Workspace, and virtual meeting platforms (Zoom, Teams, Webex, etc.).
- Ability to create basic but effective marketing materials (flyers, QR codes, links) using tools like Canva, Adobe, or similar.
- Comfortable working in a collaborative, service-oriented environment.
- Ability to troubleshoot technical issues and provide user-friendly support.
- Experience with CRM or service tracking platforms is a plus.
- Familiarity with the education sector or school district operations is preferred.
Preferred Skills
- Associate or bachelor’s degree in business, communications, or related field in addition to 2 years of experience in administrative coordination, scheduling, project management, and/or operations role.
- College Degree is not necessary should candidate have 4 yrs experience that aligns with the position/requirements of the role.
- Experience with coordination of schedules, supporting consultants or working with school districts is a strong advantage.
