The Puppy Development Administrator is responsible for administrative functions and volunteer support in Puppy Development. This position also supports the Canine Development Center Administrator in times of need and helps to maintain collaborative and cross-functional areas that include canine care, puppy care, breeding, and veterinary clinic operations.
Essential Duties And Responsibilities
- Performs a variety of administrative and clerical duties that involve setting appointments, processing paperwork, updating records, requests for general information material, mailings, photocopying, faxing, and typing correspondence.
- Implements volunteer appreciation and recognition policies and events
- Serves as the data administrator for the operational software, Microsoft Dynamics CRM, and volunteer software Volgistics®. Manages operational calendars in databases.
- Collaborate with the Volunteer Engagement department as needed, to identify the need for volunteers as well as interviewing, training, and providing on-going supervision and feedback, support, and recognition of volunteers working within the department. Volunteer drivers and admins will report to the PD administrator.
- Coordinates the registration process, catering, and overnight accommodation for various sized events.
- Collaborates with the Marketing team to compile and publish newsletters, provide training updates for counselors and puppy raisers, and distribute communications/updates.
- Manages the inventory and ordering of supplies, ensuring departmental and volunteer needs are met.
- Assists in writing and editing content for email distribution and social media posts; ensures documentation and departmental web pages are up to date. Approves new membership requests on puppy development related social media groups (Facebook).
- Prepares and summarizes operational results by compiling reports on a monthly and quarterly basis (Puppy Raiser Application Stats, Prison Capacity and Recovery report, etc.)
- Serves as the liaison between the Information Technology team and Puppy Development volunteers (including on-campus volunteers, puppy raisers, and puppy counselors) by assisting users with the Portal, providing recommendations to improve usability, and troubleshooting.
- Professionally answers all incoming calls, emails, and voicemails; directs to appropriate team member or department.
- Greets clients, visitors, and volunteers in a courteous and professional manner.
- Performs other duties as assigned.
