General Management Assistant
LDK Productions, a boutique theatrical general management & producing firm, seeks an energetic, personable individual to join the company as an General Management Assistant for an immediate start date. This vital entry level position will be primarily responsible for acting as the Assistant for the company’s General Management team working on several productions simultaneously, and providing support for the general management and producing staff.
The ideal candidate is reliable with a collaborative spirit, is open to taking on new tasks and challenges and can manage multiple priorities simultaneously. This person possesses exceptional communication skills - both written and verbal - as well as strong organizational skills, with the ability to multi-task and prioritize. Candidates should be personable with excellent customer service instincts, be able to creatively solve problems, a master of discretion, and possess a good sense of humor. This is a full-time staff position that requires nights and weekends.
RESPONSIBILITIES:
- Schedule meetings and maintain multiple production and personal calendars.
- Maintain a professional, safe, and inviting working environment.
- Act as the face of the company at the front desk of the office; interacting in person, on phone, and by email with a diverse group of clients. Assessing their needs and directing them to the appropriate staff member.
- Ensure the office in top shape, keeping things organized and welcoming.
- Manage all mailing needs for the office including receiving and sending packages/messengers, managing FedEx/UPS etc accounts and ensuring supplies are stocked.
- Responsible for ordering, inventory and budget for office supplies and equipment; and manage, review and approve supply requisition.
- Assist with invoicing and reconciling financial documents and reports
- Oversee and support office administrative responsibilities to ensure smooth operations in our fast-paced environment including assisting in planning and implementing office systems, layouts, and equipment procurement.
- Create paperwork for productions to meet union guidelines (Production Questionnaires, ect)
- Oversee schedule and maintenance of in house Studios
- Attend meetings and take notes on behalf of the GM team and relay pertinent meeting points to GM team
- Maintain and procure recommendations of venues (rehearsal spaces, venues, local housing, catering etc)
- Prepare for opening nights of theatrical productions including ticket coordination, gift creation, and other needed tasks.
- Other sites as assigned, within scope
QUALIFICATIONS:
- A positive attitude, someone who thrives in a collaborative, in person, environment
-Excellent organizational and time management skills
- Flexibility and have an all-hands-on-deck attitude. A willingness to jump in to handle high-priority tasks.
- Proficiency in Microsoft Office and Google Suite
- Strong written and verbal communication skills.
- High-level attention to detail, accuracy and ability to multitask in a fast-paced environment.
- Proactive, and ability to solve problems expeditiously, while always maintaining a calm and professional demeanor
- Ability to remain calm, flexible, positive and resourceful when under pressure
- Able to participate in special events which may occur after standard business hours
- College degree or equivalent preferred.
- Ability to lift 25lbs
