Lawyers on Demand, a Consilio Company, is currently seeking a contract Legal Staffing Coordinator for a law firm client in New York City.
Start: ASAP once interviewed and selected
Location: New York City, hybrid in Manhattan
Duration: 6 months
Pay Rate: $27-35/hour
Key Responsibilities
- Coordinate and schedule interviews with candidates, recruiters, hiring managers, and interview teams across multiple time zones.
- Manage interview logistics, including calendar invitations, video conference links, room reservations, and schedule updates.
- Support onboarding activities for new hires, including coordinating start dates, collecting required information, tracking completion of onboarding steps, and liaising with internal teams as needed.
- Assist with processing recruitment-related invoices, including reviewing for accuracy, tracking approvals, and coordinating with finance or accounts payable.
- Maintain accurate candidate and recruitment records in applicant tracking systems (iCIMS preferred), and other internal databases.
- Prepare and distribute recruiting-related correspondence, documents, reports, and status updates
- Support background check, reference check, and other pre-employment processes, as applicable.
- Support off-boarding process for employees leaving the firm
- Help ensure a positive candidate experience by providing responsive, professional, and organized support throughout the recruitment process.
- Assist with ad hoc recruiting projects and administrative tasks as needed.
Qualifications
- Prior experience in recruiting coordination, human resources, administrative support, or a similar professional services environment preferred.
- Strong organizational skills and excellent attention to detail.
- Ability to manage multiple schedules, priorities, and deadlines simultaneously.
- Excellent written and verbal communication skills.
- Professional and polished interpersonal style, with a strong client-service orientation.
- Comfort working with confidential information and exercising discretion.
- Proficiency with Microsoft Outlook, Word, Excel, and Teams or similar collaboration tools.
- Experience with applicant tracking systems, HR systems, or invoice processing platforms is a plus.
- Ability to work independently while also collaborating effectively with recruiters, hiring managers, and other internal stakeholders.
