Job Overview
Reporting to the Director of Marketing, the Marketing Coordinator is the operational backbone of the Marketing department. This entry-level role is purpose-built to keep marketing projects moving across all areas of the JCC by creating structure, timelines, accountability, and clear communication. The role is designed as 75% project management and department administration and 25% creative marketing support. The person in this role will run the “traffic system” for marketing: intake, scheduling, task tracking, deadline management, cross-department coordination, vendor follow-through, and status reporting.
In a community center setting with multiple departments and year-round programming, success is measured less by “having good ideas” and more by getting the work shipped: the right assets, on time, with clear owners, accurate details, and fewer last-minute scrambles. The JCC is a mission-driven, community-facing organization with high program variety and a calendar that includes ongoing programming and special events. Work is primarily on-site; some evening/weekend availability is expected to support major events or peak program moments, as required by the marketing calendar. Because the role sits at the center of nearly all marketing work, it can grow in several directions depending on strengths and JCC needs: marketing operations leadership, audience development and retention, campaign strategy, content and creative direction, and event/program marketing leadership.
Essential Functions:
- Serve as the primary administrative and coordination hub for the Marketing department: route requests, organize information, track commitments, and ensure follow-through across all active marketing workstreams.
- Maintain a centralized view of marketing work (master calendar, active project list, due dates, status, owners), so internal teams can reliably see “what is happening and when.”
- Own marketing workflow hygiene: ensure every project has an agreed brief, timeline, priorities, deliverables list, and approval path.
- Keep the department organized: standardized file naming, shared folders, templates, and version control so assets are easy to find and reuse.
- Support compliance and accuracy in marketing operations by tracking key details (dates ,pricing, registration links, locations, deadlines) and coordinating corrections quickly when changes occur.
- Build timelines with the Marketing Director and/or Marketing Manager, and then maintain timelines for marketing projects and campaigns, including milestones, dependencies, and final delivery dates.
- Track tasks end-to-end: create task lists, assign owners, follow up on blockers, and document decisions so projects do not stall in email threads.
- Coordinate cross-team collaboration with program leaders and internal partners to gather inputs (event details, program information, photos, approvals) and keep stakeholders aligned.
- Facilitate recurring marketing meetings: run notes/action items, confirm next steps, and distribute a clean recap.
- Vendor management: request quotes, route POs/invoices per internal process, confirm timelines and deliverables, and follow through until delivery is complete.
- Budget and expense tracking for marketing projects (spend-to-date, vendor invoices, planned versus actual) in partnership with Marketing leadership.
- Develop concise status reporting for the Marketing Manager and Director of Marketing (what shipped, what is at risk, key deadlines ahead, decisions needed).
- Create and update simple, clean marketing assets using Canva (social graphics, basic flyers, signage, simple digital ads, internal one-sheets) using existing templates and brand standards.
- Support content execution: coordinate/cue copy drafts, proofread for clarity and accuracy, and help package content for email, web, and social as directed by Marketing leadership.
- Assist with campaign execution logistics (asset handoff, scheduling support, coordinating translations or variations when needed).
- Support basic content capture and organization (photo/video coordination, asset tagging, shared library upkeep) as needed for programs and events.
Qualifications, Knowledge, & Experience:
- H.S Diploma or equivalent required.
- Bachelor’s degree preferred but not required- relevant experience and demonstrated ability to manage complex coordination work is valued.
- Excellent organization and follow-through: can consistently keep multiple projects moving, even when details change.
- Clear written and verbal communication (ability to run a meeting, write a recap, and politely chase down missing inputs).
- Strong attention to detail (dates, names, links, pricing, and logistics are accurate before anything goes live).
- Time management and comfort with deadlines in a high-volume environment.
- High Proficiency with Google Workspace (Docs, Sheets, Slides, Drive, Calendar) or an equivalent workplace productivity suite.
- Experience with Salesforce or other CRM systems (tracking audiences, communications lists, or member/customer records) preferred but not required.
- Experience with Shopify or other e-commerce tools preferred but not required.
- Familiarity with Meta tools (social publishing, ad accounts, pixel basics, reporting) preferred but not required.
- Prior nonprofit, education, arts/culture, fitness, camp, or community-program environment exposure preferred but not required.
Working Conditions:
- Typical office environment and community center environment.
- Events may take place both indoors and outdoors in varying weather conditions.
- Some events may take place off-site with varying working conditions.
Physical Requirements:
