Position Summary:
We are seeking a highly organized, compassionate, and detail-oriented Office Manager/Estate Paralegal to join our firm. This dual role is designed for a skilled professional who can oversee day-to-day office operations while independently managing estate planning and probate caseloads. The ideal candidate will act as a "right hand" to one attorney, ensuring the firm runs smoothly while providing exceptional support to clients during sensitive times.Primary Responsibilities:1. Estate & Probate & ElderLaw Paralegal Duties (approx. 60-70%)
- Estate Administration & Probate: Handle all aspects of probate proceedings, including preparing and filing petitions, inventories, accountings, and distributing assets.
- Estate Planning Support: Draft foundational documents including wills, trust agreements, powers of attorney, and health care directives.
- Asset Management: Marshall, value, and manage assets, including liaising with financial institutions, beneficiaries, and heirs.
- Elderlaw-Assisting Clients in applying for Mediciad
- Manage Tax Preparation: work with CPA to Assist in the preparation of federal and state estate tax returns, gift tax returns, and fiduciary income tax returns.
- Client Communication: Serve as the primary point of contact for clients, offering empathy and guidance through estate administration processes.
2. Office Management Duties (approx. 30-40%)
- Operations Oversight: Manage daily office operations, including vendor management, office equipment maintenance, and supply inventory.
- Bookkeeping & Billing: Coordinate invoicing, assist with accounts payable/receivable, and work with a bookkeeper on client billings.
- Technology & Compliance: Maintain case management systems (e.g.,MyCase, Clio, ), manage electronic filing (e-filing) procedures, and ensure adherence to firm policies.
- Staff Coordination: Supervise administrative staff (if applicable) and assist with onboarding new hires.
- File Maintenance: Maintain physical and electronic filing systems, ensuring all files are organized, secure, and compliant.
Qualifications:
- Experience: 2–5 years of experience as a Trust & Estate Paralegal, with prior experience in law firm administration or office management.
- Education: Bachelor’s degree preferred; Paralegal certificate from an ABA-approved program is a plus.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and trust/estate or case management software (e.g., MyCase, Clio, WealthCounsel).
- Skills: Exceptional organizational skills, high proficiency in mathematics (for trust accounting), and strong verbal/written communication skills.
- Attributes: Compassion, high ethical standards, capability to work independently under pressure, and keen attention to detail.
- Certification: Notary Public certification strongly preferred.

- This is a full-time, in-office position.
