About the Firm
The Law Office of Petrovitch and Kutub is a boutique law firm focused on estate planning, probate, and guardianship. We are seeking a detail-oriented, client-facing Legal Administrative Assistant to support intake, scheduling, office operations, and billing.
Key Responsibilities
• Handle intake follow-up: send questionnaires, request documents, and ensure files are complete
• Support billing: assist with monthly billing runs, send invoices, and follow up on past-due accounts
• Prepare and send routine client communications (non-legal) using firm templates
• Scan, upload, organize, and maintain documents in the case management system
• Coordinate signing logistics (witnesses/notary, printing, packet preparation, post-signing scanning/upload)
• Support general office operations and keep matters moving efficiently
Requirements (Must Have)
• Prior law firm experience
• Billing experience (invoicing, payments, follow-up)
• Comfortable speaking with clients by phone and in person
• Strong organization, attention to detail, and ability to manage multiple priorities
• Ability to work in-office 2–3 days/week minimum
Preferred
• Spanish speaking
• Experience with MyCase
• Experience with LawPay
• Experience in estate planning/probate/guardianship
Schedule
• Hybrid role with in-person requirement (minimum 2–3 days/week in office) at our Boca Raton office
• Additional in-office time may be required on signing days or as needed
