Office Assistant - Full Time
Our law office is seeking a dependable and personable Office Assistant with strong communication and organizational skills. This position is ideal for someone who enjoys helping others, thrives in a fast-paced environment, and wants to be part of a collaborative legal team.
About the Role:
As the first point of contact for many of our clients, you will be responsible for answering phones, welcoming clients, and supporting our legal staff. Clients often come to us during emotionally difficult times—including divorce, criminal charges, or personal injury—so compassion, patience, and professionalism are key.
You must be able to gather critical information clearly and calmly, follow confidentiality protocols, and multitask efficiently across a variety of responsibilities.
Client Communication & Front Desk:
- Answering phones (approx. 50% of the job), taking detailed notes, and relaying messages accurately.
- Greeting clients and making them feel welcome.
- Scheduling appointments and coordinating calendars.
- Collecting and entering client contact information into our digital system.
Administrative Support:
- Scanning and organizing client documents.
- Assisting with billing, invoicing, and payment collection. You must be comfortable calling and asking people to pay their invoices.
- Supporting attorneys and paralegals with assigned tasks.
Office Errands & Upkeep:
- Running errands to the courthouse, post office, and local vendors.
- Making daily lunch runs and keeping the office stocked with caffeine (essential!).
- Keeping the office space clean, organized, and professional.
What We’re Looking For:
- Strong interpersonal and phone communication skills.
- Professional, friendly, and nonjudgmental demeanor.
- Positive attitude and a team-player.
- Ability to stay organized, take initiative, and multitask under pressure.
- Reliability and a strong sense of teamwork.
- Professional appearance.
- A valid driver’s license and reliable transportation.
- Prior administrative or receptionist experience preferred, especially in legal settings, but not required.
Compensation & Schedule:
Pay: $15 – $18/hour, depending on experience.
Schedule: Monday – Friday, 8:00 a.m. – 5:00 p.m. (with one-hour lunch break). Occasional voluntary overtime may be available.
Benefits: 401(k) retirement plan with employer match. Note: health insurance is not provided.
Dress Code:
Professional office attire is required. Office staff are not expected to wear suits like the attorneys, but are expected to look presentable. Appropriate dress includes slacks, dress pants, button-down shirts, skirts, blouses, and modest dresses. Casual clothing (e.g., t-shirts, shorts, flip-flops) is not permitted.
If you're someone who takes pride in helping others, enjoys working as part of a team, and can handle the energy of a busy law office, we’d love to hear from you. Resumes are required, so remember to submit one with your application.
