Important: Training will be provided on our systems, but this is not a training role. Prior Executive Assistant experience is required — no exceptions.
What you’d be doing in this role
You’ll be the right hand to the owner and the first face people see when they walk into the office — your desk is at the front, and you’ll play a key role in creating a warm, professional, and efficient environment.
Your day will include:
Calendar and Communication Management
Managing and fiercely protecting the owner's calendar — this is no small task. You'll coordinate meetings, referral partner bookings, and events while keeping the owner’s work-life balance in mind.- Handling scheduling and communications with vendors, referral partners, and internal stakeholders.
- Answering phones and directing calls when the rest of the team is tied up — making sure no client is left hanging.
Client & Office Experience
- Greeting clients and visitors with professionalism and warmth — while juggling admin tasks behind the scenes.
- Opening and closing the office each day, ensuring everything runs like clockwork.
- Stocking supplies and managing relationships with the cleaning service to keep the office spotless and ready.
Administrative & Financial Support
Supporting the Operations Manager with check-cutting and vendor payments.- Collaborating with the Events Assistant to ensure timely bill payments and smooth event execution.
- Assisting paralegals and staff with scanning, light admin tasks, and jumping in where needed.
Taking payments and issuing receipts for clients who come in.
Systems & Tech
Using your tech skills to manage digital files, calendars, systems, and keep everything running smoothly behind the scenes.
You're probably a match if you have:
4 years of experience in a similar administrative or executive assistant role, ideally supporting a business owner or fast-moving team. There is no exception around experience, although we love to train in the mechanics of many roles, this is not a training position.- Strong tech skills — you’re comfortable with Google Workspace, calendars, payment systems, scanners, Chat GPT, and anything digital.
- Natural multitasking ability — you can answer a call, greet a guest, and prep a meeting room without breaking a sweat.
- A sharp eye for detail and a deep sense of pride in your work.
- A high level of professionalism, both in how you show up and how you interact with others.
- A love for service — you want every client and visitor to feel cared for and impressed.
- The ability to jump in, solve problems, and figure things out without needing constant direction.
- Associate’s or Bachelor’s degree preferred, but not required if you’ve got the skills and the drive.
