We are seeking a highly organized, proactive, and trustworthy Studio Operations & Procurement Coordinator to help keep our studio running smoothly behind the scenes. This role is ideal for someone who enjoys creating order, managing details, supporting systems, and ensuring that important tasks are completed accurately and on time.
This is not a design position. This role is focused on operations, procurement administration, financial administration, and studio management.
About the Role
The Studio Operations & Procurement Coordinator serves as the operational backbone of the firm. You will work closely with the Principal Designer to manage studio operations, maintain project and procurement information, support financial administration, and ensure that important details do not fall through the cracks.
The ideal candidate is highly self-directed, comfortable working independently, and capable of taking ownership of responsibilities. While much of the work is performed independently, this is a collaborative, primarily in-person role and an important part of the studio culture.
This position is expected to be primarily in-person, especially during the onboarding and training period. The successful candidate will enjoy balancing independent work with close collaboration and will be comfortable supporting a fast-paced business where priorities occasionally shift.
Studio Operations
- Maintain and update project information in Smartsheet, Studio Designer, and other internal systems
- Keep project schedules, task lists, and databases current and organized
- Organize and maintain digital files and records
- Assist in documenting, refining, and implementing internal processes and workflows
- Support general studio organization and operations
Financial Administration
- Enter and track expenses
- Scan, save, and organize receipts and financial documentation
- Assist with accounts payable and bill payments
- Support client invoicing and payment tracking
- Maintain accurate financial records within company systems
- Assist with monthly reporting and administrative accounting tasks
- Manage staff timesheet collection, entry, and reporting
Procurement Administration
- Create and manage purchase orders
- Track orders from placement through delivery
- Coordinate with vendors, workrooms, and suppliers
- Open and maintain trade accounts
- Track discontinued products and assist with substitutions
- Maintain procurement records and documentation
Executive & Project Support
- Implement project updates and decisions communicated by leadership
- Assist with scheduling and administrative coordination as needed
- Help ensure follow-through on important tasks and deadlines
- Act as a reliable extension of leadership when updates need to be documented, organized, and executed

Qualifications
- 3 years of experience in operations, office management, project coordination, procurement administration, bookkeeping support, executive assistance, or a similar role
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication skills
- Ability to manage multiple priorities concurrently
- Comfort working independently and taking initiative
- Strong technology skills and ability to learn new software quickly
- Professional, polished, and reliable
- Comfortable working with financial information and administrative accounting processes
- Experience with project management systems, spreadsheets, or databases preferred
- Experience in another detail-oriented professional services industry is a plus

Training & Onboarding
The successful candidate will work closely with the Principal Designer and existing team members during onboarding to learn our systems, processes, and workflows. Initial training will include hands-on support from current team members, as well as direct collaboration with the Principal Designer.
We are looking for someone who can quickly absorb information, ask thoughtful questions, and progressively take ownership of responsibilities.

Pay: $45,000.00 - $60,000.00 per year
