Role Description
LaunchPM is seeking a highly organized and proactive Project Coordinator to support Project Managers with the day-to-day coordination and administration of commercial construction projects. This role is ideal for someone who thrives in a fast-paced environment, enjoys managing multiple priorities simultaneously, and takes pride in keeping projects organized and moving forward. The position is approximately 90% office-based with occasional site visits, meetings, and field support responsibilities.
This is a full-time, on-site role for a Project Coordinator based in Scottsdale, AZ. The Project Coordinator will assist in planning, organizing, and supervising various construction projects, coordinating schedules, tracking progress, and ensuring compliance with project timelines and budgets. Responsibilities will include communicating with vendors, preparing project documentation, and supporting project managers in day-to-day operations to ensure seamless project execution.
Key Responsibilities
· Track project milestones, schedules, budgets, and critical deadlines
· Assist with maintaining project dashboards and reporting tools
· Track and document lease requirements and project obligations
· Prepare and distribute client project updates and status reports
· Coordinate and prepare meeting agendas, meeting minutes, and follow-up items
· Assist with consultant and vendor procurement, including preparation and distribution of RFPs
· Review proposals and populate bid comparison worksheets
· Request, organize, and track vendor insurance and compliance documentation
· Maintain organized project records, drawings, permits, contracts, and correspondence
· Track and distribute RFIs, submittals, change events, and weekly project updates
· Coordinate procurement activities, shipping, and delivery logistics
· Assist with invoice collection, tracking, and processing coordination
· Coordinate project closeout items including warranties, punch lists, maintenance items, and final project documentation
· Coordinate final project photography and turnover documentation
· Support Project Managers with miscellaneous project and operational tasks as needed
Basic Qualifications
· Strong attention to detail and organizational skills required
· Ability to prioritize, multitask, and adapt within a fast-paced environment
· Strong written and verbal communication skills
· Ability to work independently while contributing to a collaborative team environment
· Positive attitude with a willingness to learn and grow professionally
· Ability to manage multiple projects and deadlines simultaneously
· 1–3 years of experience in commercial construction, architecture, engineering, commercial real estate, or project coordination environments preferred
· Construction document management experience preferred
