Primary Role
The Shipping Assistant plays a critical role in ensuring accurate and timely order processing within a fast-paced production environment. This position is responsible for entering customer orders into the company’s system with precision and efficiency. The Shipping Assistant serves as a key liaison between dealers and internal teams, working closely with scheduling, production, customer service, and shipping departments to coordinate order details, confirm timelines, and support smooth workflow from order entry through shipment. This role requires strong attention to detail, excellent communication skills, and the ability to manage multiple priorities to meet customer expectations and production deadlines.

Education: High school diploma or equivalent required; additional coursework or certification in business administration or logistics is a plus.
Experience: Minimum 2 years of experience in shipping, logistics, customer service, or administrative support within a fast-paced environment.

The Shipping Assistant serves as a key liaison between dealers and internal teams, working closely with scheduling, production, customer service, and shipping departments to coordinate order details, confirm timelines, and support smooth workflow from order entry through shipment. This role requires strong attention to detail, excellent communication skills, and the ability to manage multiple priorities to meet customer expectations and production deadlines.
Some of What You Will Do:
- Communicate daily with dealers to:
- Confirm orders two weeks prior to production
- Confirm orders one week prior to shipment
- Confirm orders two days prior to shipment
- Ensure on time ordering of oversized load permits
- Enter and update dealer-requested dates in the ERP system (Thor) for use by production and shipping teams.
- Coordinate daily with the Shipping Manager, Plant Manager, and Production Manager to facilitate schedules.
- Process pool invoices daily.
- Handle incoming calls for schedule changes and shipping configuration updates.
- Track and report delays to confirm shipments.
- Maintain high service levels, including coordination across multiple plants or departments to meet dealer needs.
- Perform other duties as assigned.
Education: High school diploma or equivalent required; additional coursework or certification in business administration or logistics is a plus.
Experience: Minimum 2 years of experience in shipping, logistics, customer service, or administrative support within a fast-paced environment.
Technical Skills:
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and familiarity with ERP systems (e.g., Thor) .
- Basic understanding of office management procedures and inventory tracking .
- Knowledge of shipping documentation and scheduling processes preferred .
- Strong verbal and written communication skills with the ability to interact professionally with internal teams and external partners .
- Excellent organizational and time-management abilities; able to prioritize and manage multiple tasks simultaneously .
- Detail-oriented with a high level of accuracy in data entry and documentation .
- Problem-solving mindset and ability to adapt to changing priorities .
- Ability to lift to 25 lbs. and perform standard office tasks (sitting, standing, walking, reaching) .
- Comfortable with prolonged computer use and heavy telephone communication .
